Job Description:
We are seeking a detail-oriented and highly organized Real Estate Administrative Assistant to join our team. The ideal candidate will play a crucial role in supporting our agents and ensuring the smooth operation of our office. Responsibilities:
- Provide administrative support to real estate agents, including but not limited to, managing calendars, scheduling appointments, and coordinating meetings.
- Assist in the preparation and distribution of marketing materials, listings, and correspondence.
- Maintain and update databases, client records, and filing systems accurately and efficiently.
- Handle incoming calls and inquiries, directing them to the appropriate team members.
- Coordinate and facilitate open houses, property showings, and inspections.
- Assist with transaction management, including processing paperwork, contracts, and agreements.
- Collaborate with team members to ensure seamless communication and workflow within the office.
- Perform general office duties such as ordering supplies, organizing office space, and handling incoming/outgoing mail.
Requirements:
- Previous experience in administrative support, preferably in the real estate industry.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and preferably real estate software such as MLS, CRM, or transaction management systems.
- Excellent communication skills, both verbal and written, with a professional demeanor.
- Strong attention to detail and accuracy in handling paperwork and data entry.
- Ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines in a fast-paced environment.
- Demonstrated ability to work effectively both independently and as part of a team.
- Knowledge of real estate terminology, processes, and legal requirements is a plus.
- High school diploma or equivalent; additional certification or coursework in real estate administration is desirable.
