Terra Crest Property Management is a local Canadian company with over 30 years of experience in rental property management throughout Metro Vancouver. Terra Crest Property Management is seeking an Administrative Assistant who is proactive and able to work both independently and with others. The ideal candidate is self-motivated, efficient, and has strong organizational skills. You will be reporting directly to the Director of Property Management.

The role of the Administrative Assistant is to:
- Be the resource person and provide support to the property management team, the building management team for a variety of office and administrative responsibilities.
- Act as the first point of contact for potential applicants, tenants and contractors (client facing).
Your contribution to the team includes:
- Oversee office operation for the property management and building management team
- Collecting, entering and maintaining detailed records for tenant, supplier, accounts, contracts, etc.
- Preparing analytical and graphical reports to the property management team for strategy implementation
- Preparing and/or assisting with the preparation of general and confidential correspondences and communication materials
- Reviewing and proofreading documents and/or reports to ensure accuracy
- Reviewing, organizing, and distributing paperwork to the property management and building management team
- Responding to inquiries from potential applicants, tenants, contractors, etc. in a timely manner
- Handling general office duties such as ordering office supplies, compiling marketing materials, setting up meetings, filing, scanning, etc.
- Reception coverage as required
- Assisting special projects and coordinate tasks as required
What you need to be successful:
- Excellent administrative skills and attention to detail are essential
- Excellent time management and organizational skills with the ability to set priorities and meet deadlines
- Excellent interpersonal, communications, and people skills
- Proficiency in spoken and written English
- Ability to work under minimal supervision
- Flexible, adaptable with ability to think critically and problem-solve
- Advanced ability to use Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, etc.)
- In particular, knowledge on how to use the formulas such as sum, sumif, count, counta, pivot table, vlookup, is an asset.
- Experience in the property management and real estate industry, while not required, is an asset.
- Knowledge of Yardi is an asset.
Qualifications:
- Minimum:
- 3 years of experience in an administrative or office role (intermediate level)
- High school completion
- Completion of post-secondary diploma or degree is an asset
Compensation & benefits:
- Annual Salary: $55,000 - $60,000 depending on experience
