Reporting to the Director of Major Gifts, Corporate and Community, the Administrative Assistant is accountable for coordinating the activities of the development team. The position provides a wide variety of routine to complex administrative support. This position is privy to the strategic and operational direction of the organization.

YOUR ROLE
- Coordinates and distributes correspondence including memorandums, reports and maintains files. Ensures resource lists are updated and maintained.
- Using DBOF’s CRM, maintains data integrity by accurately recording interactions and ensuring constituent information is updated.
- Acts as point person for volunteers: recruiting, orienting, assigning tasks. Maintains volunteer records ensuring organizational standards are maintained.
- Coordinates logistics of various projects, monitoring timelines and tracking workflow.
- Coordinates and prepares material for team and committee meetings, including agendas, minutes and related information.
- Promotes the values of the organization within the workplace and in the community by demonstrating positive and professional relationships with other agency staff, families, volunteers, advocates, and employers.
- Performs other duties as required.
Requirements
Education & Experience:
- College diploma in business administration or related field.
- 1 to 3 years experience in the not-for-profit sector.•
Knowledge, Skills, and Abilities:
- Meticulous dedication to accuracy and details
- Experience with working with and supporting volunteers
- Excellent verbal, written, and visual communication skills.
- Strong organizational skills, with the ability to manage multiple and competing priorities within established timelines.
- Ability to work effectively within a team and independently.
- Proficiency with as Microsoft Office, DonorPerfect or other similar fundraising software, and a willingness to learn other software programs as required.
- Valid Ontario Driver’s license required, access to a reliable vehicle, and the ability to travel.
