Impact Staffing is looking for a Temporary Administrative Assistant for the University of Windsor
Details
- $30.42 per hour
- Start as soon as possible -until March 22nd, 2024 - approximately
- Monday to Friday 8:30am to 4:30pm- 1 hour unpaid lunch
Duties
Supports Organizational development and anti-racism organizational change initiatives which includes:
- Coordinates logistical and operational administrative tasks.
- Searches, gathers, and compiles information on various topics.
- Drafts documents such as reports, guides, communication, and educational materials as directed
- Proofreads and edits documents as required.
- Creates web-based surveys and other web-based data gathering processes based on content provided and exporting and compiling the information.
- Compiles information gathered through focus groups, think tanks, and facilitated processes.
- Generates reports form internal external/internal survey and other platforms.
- Preliminary analysis/sorting of qualitative and quantitative data.
- Explore and identify potential grant funding opportunities and assist with the proposal/application development process
- Greets visitors/students, answer calls/general inquiries and directs them accordingly
- Provides confidential referrals to students to campus services as required.
- Liaises with departments and external organizations to coordinate logistical arrangements for activities/events lead by the Office of VPEDI.
- Coordinates appointments/meetings, take minutes/notes and transcribe
- Maintains Committee records (correspondence and documents), assists in the distribution and preparation of committee documents as required (agendas, minutes/meeting notes, supporting documents) and track/document committee decisions and attendance.
- Creates and maintain e-mail distribution lists
- Provides operational/administrative support for the implementation of EDI related events
- Assists in processing expenses and student, part-time and temporary employee payroll
- Maintains the EDI website
- Supports the recruitment, hiring, onboarding of student employees/placements and act as a resource person for students and placements
- Provides logistical support for the transition and office set-up of new employees
- Monitors and order supplies as required
Qualifications
- Post-secondary degree or diploma in a relevant discipline.
- Minimum of 3 years’ experience in an administrative capacity as it is related to the duties of the position.
- Strong commitment to the principles of equity, diversity, and inclusion.
- Awareness of anti-racism initiatives and anti-discrimination policies and strong empathic skills
- Practical experience, gathering, and summarizing information as well as composing, proofreading, and editing documents on a wide range of topics and formats such as reports, guides, communication, and educational materials, PPT presentations and project summaries.
- Knowledge of evaluation approaches and data collection methods as well as experience conducting preliminary analysis of quantitative and qualitative data.
- Advanced proficiency in the use of web-based survey platform such as Qualtrics
- Advanced proficiency in the use of technology to create and maintain web pages such as Drupal.
- Advanced computer skills including Excel, Word, PowerPoint, Outlook, PDF editor, Teams, etc.
- Strong communication (oral and written) and interpersonal skills.
- Strong organizational, multi-tasking and time management skills.
- Demonstrated tact, diplomacy, sound judgment and attention to detail.
- Well-developed analytical and critical thinking skills.
- Ability to handle and protect confidential information.
- Ability to work independently with limited supervision and as part of a team
