The Opportunity:
Reporting to the Executive Director, Advancement and Community Engagement (ACE) the Administrative Assistant provides high-level administrative support to the Executive Director, as well as ensures the smooth business and administration operations of the department. The Assistant will also serve as the front-facing contact, greeting all visitors and vendors to the Advancement and Community and Engagement office. With strong organizational and administrative skills, you will leverage your experience to coordinate, schedule and monitor daily calendars; create agendas and take minutes for meetings; prepare reports and presentation materials; and coordinate all departmental incoming and outgoing communications, including general emails, phone messages and internal correspondence. Coordinating the logistics of meetings, seminars, workshops, special projects and events will come with ease to the successful candidate.
Additionally, you will assist with the preparation of materials and execution of events including, but not limited to, mailing invitations, taking RSVPs, and monitoring attendance. The candidate will also maintain and monitor the office budget, project management platform and filing systems, including confidential donor information. You will also provide some assistance with gift processing in Raiser’s Edge, as required.
Candidate Profile

Do you have excellent written and oral communications skills, a sense of discretion and the ability to interact positively with various stakeholders including colleagues, donors, volunteers, and alumni? If so, then this might be the right role for you!
We are looking for the ideal candidate who takes a “can-do” approach, has a high attention to detail and the ability to influence and work collaboratively in a cross-functional team. The successful candidate brings a high level of energy, willingness, and flexibility to initiate and accomplish multiple tasks, has highly developed organizational skills and attention to detail, strong technology skills, as well as proficiency in Microsoft Office, Google Suite and can learn and work with new databases with ease. Proficiency in Raiser’s Edge and Asana would be considered an asset.
In addition, the successful candidate should also hold a university degree and/or a diploma in a related field and at a minimum will have a minimum of 3 years related experience. Should you have experience in an educational institution, that would be considered as an asset. Equivalent combinations of training and experience will be considered.

Target hiring range: $45,100- $56,300
