We are currently seeking an Administrative Assistant to join our team. Reporting to the Director of Flight
Operations, the Administrative Assistant, Flight Operations provides administrative support to the
Director of Flight Operations primarily and provides support to select individuals as required. The position supports the day-to-day operation of the Flight Operations department by performing tasks to ensure the department’s administrative and project responsibilities are met in a timely manner.
Job Description
- Perform a broad range of aviation administrative duties in support of the Flight Operations department
- Contribute to maintaining the accuracy and integrity of internal records and data bases, including flight schedules and web-based training programs
- Review and prepare documents, reports, manuals and other correspondence, ensuring correct format, content, grammar, and spelling, and make edits as necessary
- Review and edit time-sensitive correspondence
- Provide clear and effective communication with Department Managers within the company
- Taking minutes and creating agendas for meetings
- Maintain a high level of confidentiality and professionalism in all interactions
- Promote a culture of safety and comply with all SMS and safety policies, processes and standards
- Stay current on administrative and office management best practices
- Any additional responsibilities or duties the Director of Flight Operations assigns
Job Requirements and Qualifications
- 3 years experience in a similar administrative role in an office environment
- Post-secondary education in Business Administration considered an asset
- Proficient in Mircorsoft Word, Excel, Outlook, and PowerPoint at an intermediate level (preference given to those with an advanced level of training or work experience)
- Experience in establishing and maintaining databases
- Must possess a valid Class 5 Driver’s License
- Well-organized with the ability to work independently and attention to detail is critical
- Superior time management and organizational skills
- Demonstrated high level of written and verbal communication skills, including the ability to effectively communicate with staff at all levels and produce effective business correspondence and reports
- High degree of diplomacy and discretion when dealing with sensitive/confidential information
- A positive attitude with the ability to be flexible in hours
- An aviation background is preferred but not a requirement
