JOB PURPOSE:
We are currently in search of a proactive and organized Administrative Assistant in our Junior School division. Your responsibilities will include coordinating meetings, planning engaging events, maintaining databases, processing invoices, and overseeing various essential administrative tasks—all while immersed in the spirited and lively ambiance of our enthusiastic young learners. KEY RESPONSIBILITIES:
- Provide comprehensive administrative support to the Junior School Principal, including oversight and scheduling of meetings
- Support the Junior School division by developing and printing meeting and event materials, collating information for the weekly school communications (The Week Ahead and The Flash)
- Attend pertinent meetings, record minutes for distribution to relevant stakeholders
- Maintain student records, including academic progress, personal information, and any relevant documentation, ensuring accuracy and completeness
- Facilitate the Principal’s approval of expenses, manage subscriptions and renewals, order supplies, track expenses for professional development and reconcile with finance
- Support the procurement of supplies as requested by Junior School staff
- Assist with events by updating the calendar, coordinating logistics, and assisting with planning for annual events such as, Winter Celebration, Grandpals Day and Closing Ceremonies
- Provide occasional back-up to the Administrative Assistant, Front Desk
QUALIFICATIONS AND SKILLS:
- Post secondary education in a related field coupled with 4-5 years of relevant work experience
- Excellent proficiency with information databases
- Displays a high degree of confidentiality when handling sensitive information
- Strong budgeting administration skills
- Has strong organizational skills and is able to manage multiple projects and deadlines and adjust priorities accordingly
- Excellent written, verbal and interpersonal communication skills
- Ability to interact with students, parents and teachers cheerfully, enthusiastically, courteously, patiently and with discretion
- A proactive team player who is flexible and self-motivated with a “How can I help?” attitude
- Proficiency in a technologically rich environment, and skilled in Google Workspace an asset
