Administrative Assistant
Palmer IP is a company of US and Canadian professionals located in Coal Harbour, providing intellectual property services to an array of university, industry and corporate clients.
We are currently seeking an experienced Administrative Assistant to join our team.
Our paraprofessionals are critical to our success. They perform the administrative work at the firm to ensure the office is running smoothly, and support our professionals in their efforts to advise clients and protect their innovations.

Responsibilities include:
- Reception functions;
- Coordinating and scheduling appointments and meetings;
- Handling incoming and outgoing mail;
- File and database management;
- Drafting correspondence, letters, and documents;
- Maintaining and organizing precedents;
- Assisting with the maintenance of office procedures and policies;
- Managing the professional's calendar including travel arrangements as needed;
- Assist with time entries and billing; and
- Other duties as assigned.
The ideal candidate should possess the following qualities and skills:
- Ability to work independently and in a team setting;
- Excellent communication and interpersonal skills;
- Ability to draft documents and correspondence;
- Strong organizational and file management skills;
- Well versed in computing systems including Worldox, Microsoft Office, Teams, Outlook, Word and Excel, and advanced word processing skills using Microsoft Word;
- Ability to exercise good judgment;
- Strong critical thinking skills;
- High attention to detail;
- Ability to multi-task and work efficiently in a fast-paced environment;
- A strong work ethic;
- Proactive;
- Ability to organize and prioritize workload to effectively manage deadlines;
- A minimum of 3 years of Administrative Assistant experience;
- Graduation from an accredited legal Administrative Assistant program preferred; and
- Experience in IP or a law firm is an asset.
