JOB OVERVIEW

Ontario Power Generation (OPG) is looking for a dynamic, strategic and results-driven professional to join our team in the role of Administrative AssistantRecruitment and Onboarding.

Reporting to the Recruitment Manager, this position is responsible for coordinating job posting approvals and providing support to recruiters by scheduling interviews, managing the correspondence with both candidates and hiring managers, supporting the pre-boarding activities for new hires, maintaining recruitment-related documentation, and ensuring compliance with company policies.

Key accountabilities include providing administrative support for all aspects of the Recruitment and Onboarding experience including but not limited to streamlining the hiring process and contributing to the overall candidate and hiring manager experience and the success of the recruitment strategy execution .

KEY ACCOUNTABILITIES

  • Provide on-going administrative support services required to maintain the day-to-day administration within the Recruitment and Onboarding work program such areas as correspondence production, meeting arrangements, mail processing, time management scheduling, information management and general office support
  • Correspondence: Produce or process correspondence covering a broad array of routine and confidential subject matter including reports, statistical data, submissions for approval of budgets, human resource material, staff salary and performance assessments/appraisals as well as items for negotiations, bargaining strategies, management positions on joint union/society items etc., response to criticisms and complaints, general administration ensuring confidentiality of same.
  • Meetings: As requested by Supervisor, or other departmental staff, make all necessary arrangements for meetings including the preparation of agenda, acquiring of meeting room, arranging for audio-visual or other equipment, preparing and issuing meeting notices etc. May be required to attend meetings with Supervisor to either provide administrative support or to act as a recording secretary. b) Ascertain agenda items for scheduled meetings by canvassing staff who normally have input to such meetings and otherwise assist Supervisor or others in developing the agenda. Attempt to ensure that persons having specific input to planned meetings will be present and make alternative arrangements when problems develop. Where required, ensure that a quorum of committee members will be in attendance at meeting.
  • Information Maintenance: Establish and maintain physical and electronic records, complying with appropriate retention schedules. Arrange for obsoleting of records in accordance with the retention schedule and for off-site storage or destruction, consistent with OPG policies.
  • Administrative Support: Receive and process information received from others in the form of periodic routine reports, administrative forms or other routine format covering a broad array of subject matter.
  • Other duties as assigned.

EDUCATION

  • Bachelor’s Degree in Human Resources or a related field.

QUALIFICATIONS

  • Ability to work effectively and efficiently in a flexible hybrid office environment.
  • 2+ years of experience working in a support function within a Human Resources department.
  • Requires a comprehensive knowledge of office practice including the operation of various standard office equipment.
  • Requires proficiency in English grammar and sentence structure, as necessary, to prepare concise and effective correspondence, reports etc.
  • Requires knowledge of the basic operating principles of computers as they relate to information processing, e.g., word processing, electronic mail, graphics, spreadsheets etc.
  • Requires knowledge of arithmetic as necessary to carry out summarization, percent calculation and other similar arithmetical functions.
  • Requires knowledge of basic statistical methods and formats and associated graphs such as pie and bar graphs. Requires proficiency in keyboard operation
