Job Overview:
We are looking for a skilled, professional, and conscientious Administrative Assistant to join our operations team to provide support with preparing and organizing key documents, tracking and compiling information, and managing related correspondence. This position involves managing and producing significant volumes of documents, data entry, and following various comprehensive procedures carefully, so attention to detail is extremely critical.
The ideal candidate is self-motivated, highly organized, and has superior time management skills. We are a process-oriented organization that operates in the digital space and our administrative team is growing. We are looking for a long-term addition to our team who can successfully grow with our organization.
Responsibilities and Duties:
· Effectively providing time sensitive support to colleagues
· Implementing administrative tasks and processes necessary for the digital operation of the organization
· Data entry, compilation, and management of CRM system
· Scanning mail and secure management and disposal of confidential documents
· Online document production; assisting in the compilation of documents and related information
· Digital corporate records management
· Generating invoices and statements
· Legal assistant type duties
· Providing office coverage as needed and managing intercom system for stuff and visitor access

· Highly self-organized, driven, and enjoys performing processes in an orderly manner
· Diligent, thoughtful, and methodical in the facilitate of administrative tasks
· Comfortable working in the digital space as our administrative process is paperless
· Effectively prioritizing tasks to meet deliverables in an interconnected team, even under high pressure deadlines
· Adaptable and flexible in a dynamic work environment, adjusting quickly to changing priorities and unforeseen challenges
· Strong English speaking and writing skills
· Strong interpersonal skills with excellent communication skills and professionalism, open to feedback, providing update on progress, and keeping colleagues well informed
· Familiarity with Salesforce and QuickBooks is an asset but not required
· Upholding standards of professionalism, maintaining integrity and ethical conduct in the performance of duties and communication among colleagues
Experience:
· At least 3 years of combined experience in a data management, administrative assistance, operations and/or bookkeeping role
· Diploma, degree or certificate in business/office administration, communications, data management, or a related field of study
· Demonstrated ability to work independently and in a highly organized manner
· Proven ability to manage multiple tasks simultaneously, maintain accuracy and attention to detail
· Experience handling sensitive information in accordance with highly organized systems
· Employment in a role that required a high degree of organization and performance of specific procedures in an orderly and timely manner
Compensation: $50,000.00 - $60,000.00 annual salary
Commitment: Full-Time.
Location: Hybrid role. Our head office is located in downtown Vancouver, Canada.
