Education: Degree or diploma or other program/Certificate in business or public administration or management
Experience: 3 to 5 years of executive secretarial or senior clerical experience related to office administration is required
Operating Systems and Software: Microsoft packages including Power point, Excel and Word
Specific Skills
1. Supervise and streamline office administrative procedures, continuously assessing and implementing new processes to enhance efficiency and effectiveness.
2. Establish and prioritize work assignments, delegate tasks to office support staff, and ensure adherence to deadlines and procedural guidelines.
3. Manage administrative activities
4. Administer policies and procedures related to the release of records, handling requests in accordance with government access to information and privacy legislation.
5. Coordinate and strategize office services, including accommodations, relocations, equipment, supplies, forms, asset disposal, parking, maintenance, and security services.
6. Conduct comprehensive analyses and oversee administrative operations pertaining to budgeting, contracting, planning and management.
7. Assist in the preparation of the operating budget and maintain inventory and budgetary controls.
8. Compile data and generate periodic and specialized reports, manuals, and correspondences.
9. Potentially supervise records management technicians and other relevant staff members.
10. Evaluate current and projected staffing needs, comprehending both immediate and future requirements.
11. Collect and assess applications, utilizing screening techniques to identify candidates who meet the desired criteria.
