- Shipping and courier, organizing and filing electronic and paper documentation, records management, faxing, filing, and photocopying
- Plan and coordinate meetings, conference calls, and workshops including the booking of meeting rooms, confirm attendance, draft and distribute agendas, order catering, and take, transcribe and distribute minutes, schedule action items from meetings
- Manage team information tools and team calendars and schedules by arranging appointments, prioritizing tasks, and monitoring activities
- Organize travel arrangements and accommodations
- Support event management
- Coordinate with Facilities regarding vendors, services agreements and equipment maintenance
- Prepare equipment orders and coordinate pooled testing equipment
- Inspect, clean, calibrate, and repair field equipment and document
- Dispense personal safety equipment
- Coordinate rental and fleet trucks, and inspect, clean, and manage maintenance of vehicles
- Manage inventory levels/stock of equipment and consumables and replenish consumables as necessary
- Ensure cleanliness of warehouse
- Manage corporate properties, point of contact for booking, maintenance, and safety inspections
- Manage inventory of office supplies in copy room and replenish when necessary
- Assist with data entry, pre and post field data requests (to data management, drafting, logging staff) and scanning and filing of information associated with field activities
- Work with senior technical advisors to ensure high quality products that meet our clients’ unique project needs
- Communicate and liaise with clients and Project related stakeholders
- Diploma or higher education related to accounting, business or related field
- Good understanding in: third party billing and coding, setup and maintenance of client / vendor files
- Experience in an Administrator or Coordinator position would be considered an asset
- Experience with Workday software would be an enormous asset
- Intermediate to advanced level skills with Microsoft Office
- Excellent typing, verbal, and written communication skills
- Ability to work closely with Office & Field Staff
- Experience with marketing, social media, and events management is an asset
- A valid driver’s license
- High aptitude for learning, ideally with future career aspirations to move up in the company
- Proficiency in reading and interpreting contract requirements
- Goal-oriented, work well under pressure and can meet demanding deadlines
- Strong planning, organization, and time management skills with an attention to detail
- Strong customer service skills with focus on customer satisfaction
- Ability to lift up to 50 pounds
- Mechanically inclined, and knowledge of rental management and basic vehicle repair would be considered an asset
