We are looking for a responsible, hardworking individual to join our team of Assistant Managers. The Assistant Manager position is a vital role in the overall success of our organization and we look for individuals who demonstrate strong leadership skills. The Assistant Manager will be tasked with providing operational support to the management team, ensuring compliance with all organization standards, and ensuring that all customer needs are efficiently met. The successful candidate will also be expected to provide administrative support in the areas of human resource management and accounting.
Responsibilities:
- Answer and direct phone calls in a professional and courteous manner
- Manage and maintain Outlook Calendar for scheduling appointments and meetings
- Provide excellent customer service to clients and visitors
- Operate and manage phone systems, transferring calls and taking messages as necessary
- Perform general clerical duties, such as filing, photocopying, and scanning documents
- Assist with front desk duties, including greeting visitors and directing them to the appropriate person or department
- Handle sensitive and confidential information with discretion
- Prepare and send documents using DocuSign
- Assist with basic bookkeeping tasks using QuickBooks
- Provide administrative support to the team as needed
Requirements:
- Excellent phone etiquette and communication skills
- Proficiency in using Outlook Calendar for scheduling appointments and meetings
- Strong customer service skills, with the ability to handle difficult situations professionally
- Familiarity with phone systems and the ability to transfer calls and take messages accurately
- Experience working as a clerk or in a similar administrative role is preferred
- Knowledge of front desk procedures, including greeting visitors and directing them appropriately
- Ability to handle confidential information with discretion and maintain confidentiality at all times
- Proficiency in file management, including organizing and maintaining physical and digital files
- Experience using DocuSign for document preparation and sending is a plus
- Basic knowledge of QuickBooks for basic bookkeeping tasks is a plus
