Job Summary
The Business Analyst I consults with users to carry out business process assessments in an effort to align business initiatives with information technology solutions. As a member of UBC IT, the Business Analyst I will work in the areas of requirements definition, business process analysis and design, functional design, configuration, implementation, testing, training and documentation to deliver solutions to the UBC community. The Business Analyst I will progressively receive more complex assignments as he/she develops his/her skills in business analysis.
Organizational Status
The position reports to the Senior Manager for Cybersecurity Systems Support and Identity Management. The Business Analyst I position also has a dotted line reporting (accountability) to the Cybersecurity Program Manager for PMO Reporting.
The position may at times also work under the direction of a Project Manager or Project Coordinator while assigned to a project. Work may also be directed and reviewed by a Senior Programmer Analyst or Application Architect or a more Sr Business Analyst.
The "Cybersecurity Systems Support and Identity Management" team specializes in safeguarding organizational data and systems by managing cyber-tools, access controls and identity verification processes. This team plays a crucial role in maintaining the integrity and confidentiality of sensitive information by implementing robust cybersecurity measures and support systems. Their focus encompasses both preventing unauthorized access and ensuring that various units at UBC are aware of and follow appropriate cyber-protocols and the tools at their disposal.
As UBC's user community continues to grow outside its traditional organizational borders so does the complexity of our cyber ecosystem and the need to bolster our information security controls. This leads to the need to validate users with a high degree of certainty, their entitlements to our IT services as ensure departmental compliance with established institutional policy.
Interacts directly with other University technology professionals and with faculty, staff and students at multiple levels in UBC.
Work Performed
Specific Duties
  • Project assignment will range from smaller less complex projects to which the Business Analyst I is the only Business Analyst to larger, more complex projects to which the Business Analyst I typically works alongside more experienced staff. Project assignments include but not limited to work on distributed Enterprise applications, or standalone applications
  • Guided by the Cybersecurity PMO, and Cybersecurity managers, ensures solutions are consistent with the overall technical and business architecture of the university and complies with UBC IT and university policies, as well as governmental legislation and other external entities compliancy requirements on security, privacy, and accessibility.
  • Assist the Cybersecurity team in performing requirements gathering, documenting requirements, and generating estimation for projects.
  • Acquire working knowledge of the university's technical and business environment. Have a high-level overview of the services delivered by Cybersecurity and UBC IT.
  • Documents meeting discussions for review by attendees
  • Participates in scheduling and coordination and completion of project tasks, working within the Cybersecurity PMO and IAM project framework(s) as appropriate.
  • Build and maintain good working relationships with project teams, UBC IT colleagues, and client stakeholders.
  • Performs data analysis and data modeling as required.
  • Develop KPIs and Dashboard reports for Cybersecurity and IAM management
  • Conducts feasibility studies and drafts proposals for evaluation by appropriate users and managers.
  • Performs data analysis and data modeling as required
  • Develops and assists in the presentation of business cases.
  • Leads short and long-term planning sessions to implement integrated business process improvements.
  • Identifies, elicits, and documents business requirements, defines business rules and communicates requirements for the implementation of business solutions.
  • Prepares functional, system and program specifications bridging multiple projects.
  • Review test plans and monitors the testing process to ensure that business results are adequately tested with minimal risk.
  • Procures technical assistance to help in problem resolution.
  • Maintains appropriate professional designations and up-to-date knowledge of current information technology techniques and tools.
  • Performs other related duties as required.
  • Understands key technical environments to effectively identify integration, security, scalability and performance requirements
  • Ability to write test plans and test cases as needed
  • Participate in verification of features as required
  • Assists with onboarding and transitioning of services
Core Duties:
  • Consults with users to carry out business process assessments utilizing a structured requirements process (gathering, analyzing, documenting, and managing changes) to identify business priorities.
  • Documents business requirements and the definition of business rules.
  • Prepares functional, system and program specifications.
  • Develops test cases and validates test results during user acceptance testing and system acceptance testing stages. Typically performs functional testing.
  • Investigates, resolves and/or escalates application related problems.
  • Provides input to project status reports.
  • Participates in the assessment of new technology to support business goals.
  • Maintains appropriate professional designations and up-to-date knowledge of current information technology techniques and tools.
  • Performs other related duties as required.
Consequence of Error/Judgement
The position takes an active, participatory role in ensuring the quality of, the reliability and high availability of UBC applications, problem analysis and resolution, ensuring services meet or exceed customer service levels at all times.
Errors in judgment, poor analysis, or failure to act decisively could have a detrimental effect and adversely impact the university community, affecting up to tens of thousands of students, faculty and staff, and could cost hundreds of thousands of dollars in lost productivity, funding and revenue. Unreliable systems or failure to meet contractual obligations for performance and availability will damage the reputation of Cybersecurity, UBC IT and UBC.
Supervision Received
The position reports to the Senior Manager for Cybersecurity Systems Support and Identity Management. The Business Analyst I position also has a dotted line reporting (accountability) to the Cybersecurity Program Manager for PMO Reporting
Must be able to work independently as well as contribute actively and collaborate openly as a team member.
The Business Analyst I also may take direction from a Project Manager/Coordinator and/or more senior team members for daily project-based activities and tasks.
Supervision Given
May provide input/recommendations into the hiring and evaluation of staff.
Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of three years of related experience, or the equivalent combination of education and experience.

Preferred Qualifications
  • Undergraduate degree in a relevant discipline.
  • Professional development in business analysis and related disciplines is an asset.
  • Minimum of three years experience or the equivalent combination of education and experience.
  • Experience in at least one of the following is an asset: IT, service/help desk, project management, higher education or communications
  • Ability to effectively facilitate groups to achieve appropriate outcome.
  • Knowledge of project management, quality assurance, change management disciplines and best practices; and development methodologies.
