We are seeking an outgoing, detail-oriented, efficient person to join our amazing Client Care Team in providing front desk support to our Psychotherapy practice. The ideal candidate will be adept at prioritizing, multi-tasking and have a positive attitude.
Pay: $20 per hour
Shifts will be: Monday to Friday from 2pm-7pm EST (25 hours per week)
This role will report to the Clinic Director, Adam Gelinas

You will rock this role if you possess excellent communication skills and the ability to lead and promote the vision of the clinic. You must be able to stay extremely organized, thinking 10 steps ahead, and the ability to see the big picture with an entrepreneurial mindset. You have a passion for helping others as you will be communicating with our clients. You are a spreadsheet guru who can stay on top of the latest information and organize information effectively. You aren't afraid to answer the phone and have the ability to convey warmth to those reaching out.
Qualifications
- 2-3 years of experience in Client Care and Customer Service (preferably in a medical office at the front desk)
Responsibilities
- Supporting psychotherapists with client bookings, payments, administrating intake & consent forms, etc.
- Client support: answering client calls and emails, following up with individuals after consultations
- Communicate with our associate therapists via Slack and email.
- Maintaining Quality Assurance (follow up to payments, securing payment information, uploading secure documents, managing the booking software including schedules and treatments offered)
- Tracking metrics using spreadsheets for Clinic Director

- Strong communication skills, ability to communicate professionally and with compassion to clients with patience when dealing with challenging clients
- Confidence to share ideas and constructive criticism to help us grow
- Juggling multiple projects and to-do’s simultaneously is no problem for you — you work well under pressure, meet deadlines and keep promises
- Tech savvy (we are mostly paper-less and everything is online)
- An appetite for innovation and simplicity who is highly process oriented
- Working autonomously comes easy to you but you also love collaborating with a talented team
- Considerable experience using the Google Drive, Slack, and Canva
- Knowledge of JaneApp scheduling software is an asset
Bonus points: Social Media experience and able to create eye-catching, professional posts and designs.
