We are currently seeking a dynamic and organized individual who is passionate about beauty, skincare and medical aesthetics to join our team as an Administrative Assistant/Client Care Coordinator. This role will involve supporting day-to-day administrative tasks and the provision of exceptional Client Care and follow-up.
Responsibilities:
- Serve as the main point of contact for clients, providing exceptional customer service and addressing their inquiries and concerns
- Schedule client appointments and maintain the office calendar
- Collect and update client information in electronic medical records system
- Coordinate with healthcare providers to ensure timely delivery of services
- Assist with insurance verification and claims processing
- Manage office supplies and inventory
- Maintain a clean and organized office environment
- Greet and assist clients both in person and over the phone/email/social media.
- Accurately document charts and update patient profiles after treatments.
Qualifications:
- Previous experience in a medical or dental office setting is preferred
- Previous spa, sales or aesthetic experience an asset
- Proficiency in using electronic medical records systems
- Excellent communication and interpersonal skills
- Strong attention to detail and organizational abilities
- Ability to multitask and prioritize tasks effectively
- Proficiency in social media platforms and tools for scheduling and analytics.
