Position Overview:
The Closeout Coordinator and Assistant to the Project Manager is a crucial role on a dynamic construction site overseeing the completion of a 14-story building set to be occupied in January. This multifaceted position requires a detail-oriented professional who can manage the final stages of construction projects while supporting the Project Manager in various administrative tasks.
Key Responsibilities:
1. **Closeout Coordination:**
- Oversee the closeout process for the construction project, ensuring that all aspects are completed on time and within budget.
- Collaborate with subcontractors, suppliers, and internal teams to obtain necessary closeout documentation, including warranties, manuals, as-built drawings, and permits.
- Conduct thorough inspections to verify the quality of work and compliance with project specifications.
- Create and maintain a comprehensive closeout schedule, tracking milestones and deadlines.
2. **Quality Assurance:**
- Implement quality control measures during the closeout phase to guarantee that the construction meets established standards and specifications.
- Address any deficiencies or issues identified during the closeout process and coordinate with relevant stakeholders to resolve them promptly.
3. **Documentation Management:**
- Organize and maintain all project documentation related to closeout, ensuring that records are accurate, complete, and easily accessible.
- Work closely with the Project Manager to compile and submit final project documentation to clients, regulatory authorities, and other relevant parties.
4. **Assistance to Project Manager:**
- Provide administrative support to the Project Manager, including calendar management, meeting coordination, and communication facilitation.
- Assist in the preparation of project status reports, presentations, and other documentation for internal and external stakeholders.
- Act as a liaison between the Project Manager and various project teams, ensuring seamless communication and collaboration.
5. **Timeline Management:**
- Collaborate with the Project Manager to update and maintain the project timeline, ensuring that deadlines for closeout activities align with the overall project schedule.
6. **Occupancy Planning:**
- Work closely with the Project Manager to plan and coordinate the transition to occupancy, including final inspections, permit acquisition, and coordination with relevant authorities.
Requirements:
- Bachelor's degree in construction management, engineering, or a related field.
- Proven experience in construction project closeout coordination.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Familiarity with construction documentation and quality control processes.
- Proficiency in project management software and Microsoft Office suite.
