Dogwood Ltd. in Mississauga, ON has an opening for a Construction/TradesDispatch Coordinator.
We provide commercial renovations, tenant improvements and facilities maintenance to commercial customers / businesses.
The Dispatch Coordinator performs a variety of dispatching and administrative tasks. The person in this position is responsible for coordinating in-house technicians and subcontractors, scheduling service work and projects, and ensuring the ordering of materials and equipment. MAIN RESPONSIBILITIES:
· Performing a variety of administrative and dispatch functions.
· Creating work schedules and work orders for in-house service technicians.
· Responsible for communicating all relevant information between clients and technicians.
· Sourcing new subcontractors and vendors and adding them into the database.
· Responsible for scheduling jobs using subcontractors and creating work orders in internal system.
· Gathering quotes from various types of subcontractors.
· Supporting the preparation of quotes.
· Updating subcontractor and vendor spreadsheets.
· Following up on WSIB insurance for subcontractors.
· Following up on contracts and their submission.
· Reviewing WIP (work in progress) and requesting weekly paperwork from subcontractors.
· Responsible for communicating all relevant information between customers and subcontractors, and sending completion details to customers on a daily basis through their requested portals.
· Working in portals and updating them as required.
· Checking service emails frequently to categorize jobs.
· Supporting the tracking of service work, and small to medium projects from start to finish.
· Responsible for ordering materials and supplies for projects.
· Assisting in calculating time and materials on work orders and preparing for invoicing.
· Sharing responsibility for emergency after-hour calls as per the rotation schedule.
· Perform other tasks from time to time, as needed.
QUALIFICATIONS / REQUIREMENTS:
Required Experience:
· 5+ years of experience as a service dispatcher in the construction or trades industry
· 2 years of administrative experience
Required Knowledge, Skills and Abilities:
· Strong computer skills in Microsoft Office (Excel, Word, Outlook)
· Knowledge of Salesforce an asset
· Strong organizational skills
· Resourceful
· Strong interpersonal skills and a level of professional assertiveness with the ability to establish and maintain effective working relationships
· Strong communication skills - written and verbal
· Ability to prioritize tasks and solve problems effectively
