JOB OVERVIEW
Reporting to the Senior Manager, Gift and Estate Administration, this position will work with the Estates Team and be responsible for the day-to-day administration and processing of active estate gifts for Ontario, the Prairies, and the Atlantic provinces.
The team will provide specialized training to the candidate, as needed.
WHAT YOU’LL BE DOING:
- The position provides expertise in the field of estate administration.
- Estate Administration of bequest gifts includes securities, trusts, annuities, life insurance, and other gifts for Ontario, Prairie, and Atlantic provinces.
- Manages administration of bequest gifts from initial estate notification to final distribution and closure, including input into Salesforce and SharePoint. Maintains and updates records and data in database according to established processes and protocols, including some scanning of documents.
- Assesses estate and gift issues including designation types, analyzes and coordinates with external parties, including legal counsel and other charity beneficiaries.
- Prepares Releases, cover letters and other legal documents for signature, in accordance with CCS Signing Authority Policy.
- Finance - deposits and tax receipts: Handles deposits to Finance/Gift Processing; handles tax receipt retrieval and accompanying correspondence.
- Keeps current on tax aspects of estates, trusts and other charitable gifts and informed about new legislation and revenue rulings affecting such gifts.
- Liaises with internal departments regarding estate gifts, including Finance, Gift Processing, among others.
- Demonstrated ability to interact comfortably with estate representatives including lawyers, trustees, family members and other professionals.

QUALIFICATIONS:
- Completion of related post-secondary education, or equivalent combination of education and experience.
- Excellent organizational and interpersonal skills.
- Highly developed customer service, communication, and problem-solving skills.
- Demonstrated ability to interact comfortably with estate representatives including lawyers.
- Shows initiative, tact, diplomacy, attention to detail and trustworthiness.
- Ability to manage multiple projects, while meeting deadlines and determining priorities.
- Outstanding verbal and written communication skills, including developing and building rapport with colleagues, lawyers, trust officers and family representatives, as well as listening, explaining and guiding others through estate administration processes.
- Ability to work independently and as a member of the team.
- Experience with Salesforce and SharePoint an asset.
