- Create and maintain master rotations of specific units/programs in consultation with the departments' Clinical Managers and Labour Relations
- Meet with Management and Recruitment for the maintenance and accuracy of Position Occupancies, and review future position vacancies and make recommendations for position postings
- Prepare and distribute of unit specific staffing schedules & vacation planners, while adhering to the specific collective agreement language and deadlines
- Maintain accurate staff availability lists to facilitate replacement of staff
- Give report and direction to after hours Employee Scheduling staff on unit shortages
- Work with management (daytime and after hours) for direction on scheduling of staff based on specific operational needs
- Communicate effectively with unit Care Facilitators and Managers regarding unit shortages and replacement efforts
- Maintain staffing schedules on a day to day basis for accuracy, ensuring unit specific staffing quotas are accurate and documenting all changes at the time of occurrence in the electronic scheduling system
- Schedule replacement staff according to established collective agreements language and hospital processes
- Understands the scheduling requirements of all applicable Collective Agreements and proactively identifies scheduling anomalies that are potential violations of these agreements for action by unit managers
- Input / update staff hours into the scheduling system as required (sick, vacation, leave of absences, overtime) in an accurate and timely manner, and perform bi-weekly payroll processing
- Demonstrate QCH values: collaboration, accountability, respect, innovation
- Post-secondary education and a minimum of 2 years current experience in staffing and scheduling
- Or a combination of equivalent education and experience
- Demonstrated proficiency with MS Office, Excel, Word and a Human Resources Information System
- Excellent interpersonal and communication skills
- Ability to work effectively in a team environment with frequent disruptions
- Excellent organizational and time management skills
- Ability to maintain confidentiality
