Job Description:
Central Residential Services Board is currently accepting resumes for an Executive Assistant. Applications are invited from highly motivated and skilled individuals who are interested in providing administrative support to members of the leadership team.
Reporting to the Executive Director, this position is responsible for providing advanced executive assistance and administrative support to the CRSB management group. This position is accountable for administrative duties with considerable breadth and responsibilities.
Essential Job Functions:
General:
- Provides high-level administrative assistance to the Executive Director through independent handling of correspondence, documents, planning and scheduling of meetings, appointments, and conference calls.
- Oversees the smooth operation of the office, orders supplies, and coordinates with other staff.
- Administration of various computer systems, including reporting and analysis.
- Facilitates and creates documentation for Board of Directors and Board Committee meetings.
- Maintains confidential filing systems.
- Administration of accounts payable and accounts receivables.
- Liaises with government departments and the general public.
- Manages and directs all incoming inquiries appropriately and professionally.
- Completes travel claims and correspondence.
- Prepares and edits documents and various forms.
- Administration of Benefits and Pension plans.
- Prepares internal and external communication in the form of memos, emails, presentations and/or reports.
- Conducts research and prepares presentations or reports as assigned.
- Assists in the preparation of workplace policies.
- Provide support to the management team.
- Completes bank deposits and distributes mail.
- Plans/organizes and implements organizational events such as general meetings and Board of Director’s meetings.
Education and Experience Requirements:
- Completion of a post-secondary program in Office Administration, Business Management or a related field, accompanied by administrative experience of a progressively responsible nature.
- Minimum of five (5) years of previous or related experience.
- Experienced professional in supporting Executives and interfacing with both the public and senior executive level of government on behalf of the organization is attained by years of previous experience in progressively challenging roles.
- Knowledge and use of advanced computer software systems, with an aptitude to learn new software and systems.
Knowledge, Skills, & Attributes:
- Exceptional ability to effectively deal with a variety of stakeholder requests and issues.
- Excellent computer and keyboarding literacy. Advanced proficiency with Microsoft Office.
- Excellent knowledge and proficiency in a business or operational technical discipline.
- Strong ability to work under pressure and adapt to a fast-paced environment.
- Superior organizational and communication skills.
- Excellent attention to detail and ability to stay organized, take initiative and prioritize workload.
- Strong analytical and interpretive skills.
- Demonstrated ability to work both independently and cooperatively with a high degree of initiative, responsibility, efficiency, and enthusiasm.
Pay scale CG-28 (this is a non-union non management position.
7.5 hours a day
