The Role

Reporting to the Chief Administrative Officer (CAO), the Executive Assistant (EA) provides administrative support to the CAO and Mayor, and members of City Council. This position requires an experienced, reliable and task-oriented individual. The Executive Assistant will work directly with the CAO primarily during working hours but will be required to support the CAO and Council in important after-hours situations from time to time.

The position coordinates the administrative activities of the office and responds to requests and/or appropriately redirects action items. The position also acts as the administrative liaison with internal and external sources; coordinates meetings, prepares agendas, records minutes and prepares action items; and supports a high quality of client service. The position may also be responsible for coordinating projects that may involve working with all levels of management and staff.

Work is performed with considerable independence with only unusual or difficult problems referred to the CAO for guidance. Judgment is required in identifying priorities in daily routines and ensuring deadlines are met. Acting on behalf of the CAO or Council, the EA will be required to work with all staff to ensure deadlines are met. The work may involve matters of a sensitive or confidential nature, including human resource, policy, financial and contractual matters. Work is reviewed through regular verbal updates and observation of results obtained.

The Executive Assistant must be extremely organized, efficient, and able to function in a fast-paced environment. They will need to have very strong interpersonal and time management skills. The EA requires strong decision-making skills, verbal and written communication skills, attention to detail and must be able to multi-task.

The Ideal Candidate


Progressive office management experience (minimum 5 years) in a client focused environment, supplemented by a diploma in Office Administration from a recognized educational institution; or any equivalent combination of experience and training that is acceptable to the city.

Key competencies include:

  • five years or more experience working for senior leaders in an organization or any equivalent combination of experience and training that is acceptable to the city.
  • considerable knowledge of principles and practices of office management and of current office procedures, systems, and equipment.
  • knowledge of various computer software packages including Microsoft Suite (Excel, Word, Power Point, Access, Outlook).
  • knowledge of municipal government is an asset.
  • knowledge of records management and retention practices
  • demonstrated “Customer First” service treatment of customers, partners and colleagues.
  • demonstrated flexible and positive approach and initiative in completing assignments.
  • ability to, efficiently and effectively, organize an office and provide administrative support to a team with a “do different, not more” approach.
  • Knowledge of municipal government is an asset.
