POSITION SUMMARY:
TransForm is preparing for the implementation of new hospital information system, which requires a dedicated team to support all aspects of project implementation for a successful adoption of new services and/or products that TransForm provides.
The Project Assistant (PA) position is a great entry level position into Healthcare Project management, as PA’s quickly become an integral member of our team by providing the necessary business support, during integral project related milestones, efficiently, successfully and within the agreed terms of the project. Each PA will support a work stream as they work through the adoption and regionalization phase of the project. As the project rolls out, the PA will support other project teams and participate in testing, project management, training and change management related activities.
As a PA, you will work in a busy project team environment that provides a full range of administrative, coordination, and project management support to the day-to-day workflow of the various clinical or technical work streams. This position must function with limited supervision and requires considerable proactive coordination with project staff work demands. The ability to exercise initiative, independent judgment, and accountability for various processes and projects is crucial.

WHAT YOU’LL DO:
- Providing administrative and other business support for project staff in an environment that requires maturity, professionalism, and confidentiality.
- Ensure consistent flow of current, accurate, and usable information amongst the PMO, work streams, senior leadership, committees, and other relevant project stakeholders.
- Maintain and update project repositories with required project tracking material
- Coordination of committee meetings, development of agenda, taking of minutes, maintenance of committee membership, and dissemination/collection of materials.
- Track and monitor progress of local implementation and adoption activities and flag any deviations from plan
- Coordination of various ad-hoc events in terms of facility, invitation, equipment, catering, and other logistics.
- Assist in the creation of any required ad hoc reports and/or communications
- Assist with the change management activities such as: distribution of surveys, supporting and or performing demos with direction and engagement activities for future users
- Under direction from the PMO, assist with project analyst assignments, ad-hoc reporting, project tracking tools and supporting project steering committees
MUST- HAVES:
- Minimum three (3) year College Diploma or University Degree relative to information technology, health sciences, business administration or equivalent work experience.
- Experience establishing and maintaining effective relationships with clients, vendors, and team members
- Experience handling confidential information on a daily basis with the utmost sensitivity
- Advanced skills with Microsoft Office Suite products, including Teams, SharePoint, Visio, Word, Excel, Outlook, PowerPoint and OneNote.
WE VALUE:
- One (1) year Post-Secondary Certificate in project management related field
- Experience participating in large scale application implementation projects
- One to two (1-2) years project related planning/ coordinating experience
- Healthcare related project work an asset
- Strong understanding of Project and Portfolio Management techniques
- Familiarity with the functioning of a PMO and Steering Committee
OTHER CONDITIONS:
- May on occasion, be exposed to additional hazards traditional found in a healthcare environment when going on-site to provide services related to observing, troubleshooting, training, at the elbow support, etc.
- Must be able to travel within the Southwestern Ontario area, when required
- Must be able to work evenings and weekends, when required
- Current business reference checks, police clearance, and immunization medical clearance
