Position: Lands and Housing Administrative Assistant

Department: Lands and Housing

Employment Status: Full Time

Salary: $24.62 - $29.42/HR – 35 Hours per Week

Location: Naughton, ON

Closing Date: February 6, 2024, at 4:00pm


POSITION SCOPE:

The Lands and Housing Administrative Assistant performs and/or oversees a variety of associated administration, staff support, and planning activities. Some of which require advanced or specialized knowledge and skills such as, equipment, facilities, inventory or database management, and/or specified information-gathering projects and tasks. The assistant also assists in the coordination of meetings, program functions, and/or special events, as appropriate. The assistant will provide operational support to the Director of Lands and Housing, and Lands and Housing Department when required.


REQUIRED QUALIFICATIONS:

Mandatory Requirements

  • A two-year College Diploma in Office Administration OR,
  • Equivalent education with a minimum of two (2) years administration experience in a fast-paced office setting OR,
  • A minimum of five (5) years clerical experience in an office environment

Additional Requirements

  • Excellent computer skills including Microsoft Office Suite.
  • Extensive understanding of all general office procedures, utilizing current and up to date office equipment.
  • Excellent written and verbal communication.
  • Efficient time management skills and organizational skills in an office setting.
  • Knowledge of Atikameksheng Anishnawbek culture and traditions

KEY RESPONSIBILITIES:

Administration

  • Provide administration support to the Director of Lands and Housing.
  • Draft and edit correspondences on behalf of the Director of Lands and Housing and/or the managers of the Lands and Housing
  • Responsible for preparation, receiving and delivery of correspondences to and from the Lands and Housing
  • Ensure all purchase orders and cheque requisitions, related to the Lands and Housing Department, are processed and filed properly.
  • Communicate any required follow ups from directors or managers meetings.
  • Prepare correspondence with all subcommittees of the d

  • Work on special projects as assigned by the Director.

Department Support and Coordination

  • Analyze incoming and outgoing memoranda, submissions and reports, and prepare and coordinate the preparation and submission of summary briefs and reports to the Director of Lands and Housing, and Gimaa and Council.
  • Ensure knowledge of all administrative policies and procedures.
  • Ensure smooth flow of communication within the Lands and Housing

Communication

  • Greet visitors, ascertain nature of business and direct visitors to employee or appropriate person.
  • Answer telephone and electronic inquiries and relay telephone calls and messages.
  • Liaise with departmental managers and with other organizations and associations on behalf of the Director of Lands and Housing and Committee(s) as requested.
  • Prepare outgoing communications from the Lands and Housing Department to community members.
  • Prepare correspondence and response to all requests for release of information.
