Job Profile
The City of Cambridge has a temporary opening for a Legal Assistant. The Legal Assistant will provide administrative support to the City Solicitor, the Assistant City Solicitor, and the Legal Division. The ability to provide a high level of professionalism, good judgment, and to deal with highly sensitive issues with confidentiality, tact and discretion will be a requirement of this role. Reporting to the City Solicitor, the following duties will apply:
What you will be doing
- Prepares or coordinates the preparation of a variety of documents (many confidential), including legal documents, correspondence, pleadings, financial and statistical data, technical reports, and reports to Committees of Council, by-laws, opinions, and charts. Extracts and collects data from a variety of sources; compiles data and distributes information to appropriate staff. Maintains a bring forward/tracking system; informs staff of outstanding items and follows up accordingly.
- Communicates with lawyers and other professionals, on behalf of the City Legal Services Division lawyers regarding specific legal transactions and documents.
- Conducts PINsearches and execution searches required for completion of land transactions.
- Maintains Legal Services Administration files for Division, including opening and closing of files. Maintains an up-to-date index and cross-referencing system of all active and inactive files for Legal Services and conducts file searches and retrievals. Updates and monitors related tracking systems to ensure accuracy. Monitors filing processes and ensures that staff follow approved records management practices for organizing and maintaining both current and closed files. Also updates the law library.
- Organizes and arranges meetings for the City Solicitor and Division lawyers and law clerk. Brings forward supporting information; maintains calendars and reviews schedule on a daily basis.
- Coordinates theDivision's operations, including accommodation, information technology, and budgets. Serves as liaison with Facilities Management, Information Technology Services, and Finance.
- Oversees the collection and distribution of mail and faxes for the Division. Opens and sorts mail and e-mail for Legal Services and responds to routine correspondences directly as needed.
- Researches and prepares reports, and conducts research and special projects, as requested.
- Registers legal documents, such as development agreements, deeds of land, easements, encroachment agreements, as well as supplementary documents, and attends to depositing of Plans of Subdivision, Condominium and Reference Plans as required in the absence of the Law Clerk.
- Ability to communicate with all levels of staff, solicitors and the public concerning divisional services, administrative matters, and legal documents.
- Performs other related duties as assigned.
Education
Legal Assistant Diploma Certificate is required. Possession of a Law Clerk Certification is considered an asset
Experience and Knowledge
- Two or more years' experience in a municipal legal office is required.
- Must have excellent communication skills both with staff and the public.
- Ability to prioritize and must have excellent computer skills, including Outlook, Excel, Adobe and Power Point in an MS Office environment.
- Knowledge of POA prosecution files and processes would be an asset.
- Must understand the importance of confidentiality in a legal office, be able to work under pressure to meet unexpected deadlines and emergency situations that arise from time to time.
Your compensation
This position is within Grade 2 of the Non-Union Salary Schedule and has an annual salary range of $59,962 to $73,125. We offer a comprehensive benefit package and are an Ontario Municipal Employees Retirement System (OMERS) employer.
Hours of work
Monday to Friday, 8:30 a.m. to 4:30 p.m. (35 hours per week)
