We are a reputable cardiology office dedicated to providing high-quality cardiovascular care to our patients. Currently, we are seeking a skilled and organized Medical Administrative Secretary to join our team and contribute to the efficient functioning of our office.
Responsibilities:
- Appointment Scheduling:
- Manage the scheduling of patient appointments, ensuring optimal utilization of the cardiologist's time.
- Coordinate with patients to find suitable appointment times and provide necessary information.
- Patient Chart Management:
- Maintain accurate and up-to-date patient charts, ensuring that all relevant documents, test results, and correspondence are properly filed.
- Retrieve and update patient records as needed for appointments and procedures.
- Be able to use EMR systems
- Fax and Correspondence Handling:
- Receive, review, and distribute incoming faxes and correspondence promptly.
- Ensure that outgoing faxes, referrals, and medical records are sent accurately and in a timely manner.
- Phone and Email Communication:
- Answer and screen phone calls, responding to inquiries or directing calls to the appropriate staff members.
- Monitor and respond to emails, handling inquiries and communicating effectively with patients, referring physicians, and other healthcare professionals.
- Billing and Insurance Verification:
- Assist in the billing process by verifying insurance information, collecting co-pays, and ensuring accurate billing documentation.
- Collaborate with the billing department to resolve any billing-related inquiries or discrepancies.
- Front Desk Reception:
- Welcome patients and visitors, providing a positive and professional first impression of the office.
- Assist in the check-in and check-out processes, collecting necessary paperwork and updating patient information.
- Filing and Organization:
- Organize and maintain filing systems for administrative and patient-related documents.
- Ensure that all filing is done accurately and in compliance with healthcare regulations.
- Collaboration with Healthcare Team:
- Collaborate with medical assistants, nurses, and other staff members to ensure seamless patient care coordination.
- Attend team meetings and contribute to the overall efficiency of the office.
Qualifications:
- Previous experience in a medical office setting, preferably in cardiology.
- Proficiency in medical office software and electronic health record (EHR) systems.
- Excellent organizational and multitasking skills.
- Strong communication and interpersonal abilities.
- Knowledge of medical terminology and understanding of insurance processes.
- Attention to detail and accuracy in all tasks.
