SUMMARY
AMIX is looking for an Office Administrator who will anticipate the needs of our managers, team members and help create a positive, welcoming environment where our team can perform at their best.
RESPONSIBILITIES:
- Perform bookkeeping tasks such as entering invoices, monitoring accounts receivables, and assisting in project budget tracking
- Assisting Supply Chain with purchasing, tracking inbound and outbound shipments, and inventory control
- Maintaining general office files, including job files, vendor files, and other files related to company’s operations
- Carrying out clerical duties such as answering phone, responding to emails, preparing documents, including office correspondence
- Assist HR with maintaining employee records, certifications, and payroll
- Help develop and document company SOPs
- Knowledge of office management systems and procedures
- Ensure office/ shop supplies are kept in stock
- Other 'as-needed' tasks (booking meeting rooms, assisting with planning company events etc)
SKILLS & QUALIFICATIONS
- Minimum 2 years experience in similar role
- Minimum 2 years experience using an accounting program such as XERO, Quickbooks Online or Equivalent
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem-solving skills - experience developing and implementing new systems
- Excellent written and verbal communication skills
- Strong proficiency in Excel and Microsoft Office
- Fast learner with accurate data entry
Job Type: Job is part-time (20-30 hours per week) with hours/days worked being negotiable. Some weeks longer hours may be required. Work is primarily on-site, however, some tasks may performed from home.
