The Production Administrative Assistant position supports the BC Pole Fibre business by processing pole fibre transactions (poles/barkies/non-pole) that include payables, inventories and sales invoices. The position supports the month-end process with general accounting duties to support the accounting team, along with general office support to local facility.
Contractor Pay
- Imports classing data to scale system; reviews classing reports and exports completed loads daily to Fiber Track
- Barkie purchase contracts, set-up, maintain and validate barkie loads for payment
- Barkie load entry (custom peeling sites) and validation
- Log load entry; non-pole sale entry and invoicing
- Handle major fibre supplier inquiries
- Imports Barkie Loads & Hand-Scale Data to Scale System
- Imports Classing data to Scale System; reveiws Classing reports and exports completed loads daily to Fiber Track
- Reviews Harvest Billing System Daily for Scale data’s successful transmission
- Tracks Non-Pole Volumes in Scale System; also tracks Non-Pole inventory in spreadsheet for inventory valuation
- Tracks Boomsticks and Gear inventories, activity and movement
- Enters Non-Pole Sales & Boomstick/Gear Sales in BB and generates invocies for Customers; generates a Non-Pole Sales Report
- Tracks Barkie Loads and Peel-out results for Boom Proforma Reporting
- Reconcile barkie inventory loads and dollars for coastal sites
- Assist with preparation of various production reports
- Reconcile inventory pieces from log admin system to Accounting system
- Receipt and freight reconciliation
- Collection and completion of required documentation for all incoming and outgoing semi-finished product loads
- Communication with accounting department to ensure accurate inventory tracking
- Communication with freight carriers and assistance in scheduling of inbound/outbound loads
- Post payables invoices for Job Costing; route and follow up on invoices for approval.
- Assist as needed in various data entry tasks that contribute to weekly pay and cheque runs
- Maintain files of logging and other contracts
- Holiday coverage for other accounting clerk
- Strong communication with log yard supervisor, on site contractor, scaler, and pole buyers
- Performs other duties as required
- College Diploma or equivalent in accounting or business-related field
- Minimum 3 years of related experience
- Effective interpersonal and communication skills
- Attention to detail, monitor and check work or information
- Strong accounts payable knowledge
- Intermediate computer skills (Microsoft Office) with proficiency in Excel
