PROJECT ADMINISTRATIVE ASSISTANT

(Part-time, 58 week Term)
Delta Community Action Team (CAT) Grant

About the Delta Community Action Team:

On December 1, 2017, the Ministry of Mental Health and Addictions established an Overdose Emergency

Response Centre (OERC) to take immediate action at the community level to prevent further fatalities. The

OERC aims to provide support for people who use substances to access evidence-based harm reduction and substance use treatment services, as appropriate.

The Delta Community Action Team (DCAT) aims to provide a platform for collaboration, discussion, decision-making, and action to deal with the crisis arising from the toxic drug supply in the City of Delta.

The project's Administrative Assistant will work as part of an interdisciplinary team to provide administrative support for all committee meetings, steering committee meetings, task groups, and program initiatives.

Proposed Project Timeline:

February 19, 2024- March 31, 2025 - 58-week contract

Key Deliverables & Responsibilities:

  • Work with Deltassist to distribute payments to team members and coordinate project purchasing.
  • Maintain accurate and up-to-date records of all expenses and participate in the overall budget balancing.
  • Arrange meetings, including booking venues, sending invitations, creating agendas, taking minutes, and tracking tasks.
  • Collaborate with community partners to prepare, type, edit, and proofread formal documents such as project action plans, evaluations, surveys, infographics, and promotional material.
  • Manage social media accounts and, in partnership with community partners, help to deliver social media content.
  • Manage the team email account and lead communications with community partners.
  • Maintain the team calendar, which includes scheduling and confirming meetings.

Job Opportunity – DCAT Project Administration Assistant, 2024

  • Ensure that the voice of people with lived and living substance use experience is established from the beginning of the project and that peers are involved in the strategic project planning, decision-making, and ongoing peer committee membership.
  • Support grant proposal writing to secure funding for future projects

Skills and Abilities:

  • Experience working with diverse populations and multiple stakeholders, including people with lived and living experience with substance use.
  • Strong writing skills, with experience creating financial reports and project proposals.
  • Demonstrated skills in cultural safety, compassion, inclusion, and respectful engagement.
  • Experience balancing budgets, managing and holding funds.
  • Experience writing and submitting grant proposals.
  • Demonstrated ability to communicate effectively, both verbally and in writing.
  • Demonstrated ability to plan, organize, and prioritize work, and multitask in an environment subject to changing deadlines and interruptions.
  • Demonstrated ability to effectively utilize social media platforms to promote and market objectives and deliverables as related to the OERC contract, as well as assist with website content and updating the DCAT FB page as related to the OERC contract deliverables.
  • Time management and coordination: ability to adjust actions about team actions.
  • Critical thinking: Using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems.
  • Conflict resolution skills.

Qualifications:

  • A high-school diploma with continued education, degree or certificate in business administration, public health, social services, applied science, or a related field, or an equivalent combination of education, training, and experience.
  • Three years of related experience in administration or an equivalent combination of education, training, and experience.
  • Designation as a Canadian Certified Administrative Professional (CCAP) is preferred but not required.
  • Computer skills including using emails for effective communication, writing and editing in Microsoft
  • Word or Google Docs, searching for information, navigating websites and social media platforms, and making engaging presentations.
  • Excel proficiency is an asset.
  • Demonstrated understanding of the toxic drug supply crisis, the issues related to substance use, such as stigma and barriers to changing health policies, and creating long-term, sustainable community change.
  • Knowledge of community resources and support service network specific to Delta.
  • Must be available on evenings and weekends as needed, available in person for meetings and project work, and be able to work independently.

Working Conditions:

  • This position is grant-funded to offered as a 58 week contract.
  • This is a part-time position with 19 hours per week and is located in Delta BC.
  • Project Administrative Assistant is a contract based role through Deltassist Family and Community Services Society and the hourly rate is $33.
  • Combination of working from home and in various community locations required.
  • This position will require working outside office hours.
