Job Scope
Reporting to the Lands Office Manager, and working closely with the management team, third-party service providers, and internal and external stakeholders, the Assistant provides administrative and clerical support for multiple department projects. The Assistant is responsible for coordinating project activities, managing application and reporting schedules, and general project administrative support. The Assistant also prepares funding applications, project reports, and stakeholder communications. The Assistant’s duties include researching and writing proposals, tracking funding applications, assisting with drafting project charters, conducting research and creating draft project reports. The Assistant will implement, and occasionally take the lead as assigned, on communications tasks related to specific projects. Other related duties as required.
Candidate Profile
The Assistant has demonstrated experience in assisting with project administration, logistics, professional business writing and documentation, and demonstrated organization and time management skills. The Assistant has good interpersonal skills and excellent written and verbal communication skills, and can carry out assigned tasks with minimal supervision. The Assistant is able to supporting multiple managers and project managers to carry out workplans.
Preferred Qualifications
Experience:
- Experience in an assistant role within a project administration assistance context.
- Experience with budget tracking, filing systems, record keeping and report writing.
Knowledge:
- Mature individual with a minimum grade 12 high school diploma.
- Post-secondary project management training, or equivalent related project administration experience.
Skills:
- Strong interpersonal skills and ability to interact well with employees and the public.
- Excellent communication skills (written and verbal).
- Ability to listen to understand and ask questions for clarification.
- Strong computer skills and able to use MS Office and Google Workspace applications.
Abilities:
- Ability to prioritize and organize workflows to handle competing priorities and meet deadlines.
- Resourcefulness, flexibility and adaptability.
Other:
- Compliance with BC Immunization program, TB Screening, and FNFN’s COVID-19 vaccination policy.
- Satisfactory completion of a police information check may be required.
- Ability to provide own transportation to work.
- Valid Class 5 BC Driver’s License and Drivers Abstract.
Optional:
- Ability to speak Dene and/or Cree.
- Other certificates such as: WHMIS, First Aid.
- Experience working with digital/graphic design and social media platforms.
- Continuing education certificate in project management.
Work Conditions
This work takes place Monday to Friday, 8:30 a.m. – 4:30 p.m., excluding holidays. A flexible work schedule may be required occasionally. Manual dexterity is required to use computers and peripherals. May periodically work in outdoor environments.
Compensation
Remuneration: Competitive hourly wage, 35-hour standard work week, comprehensive benefits (health/dental, insurances, weekly indemnities), pension, and 3 weeks vacation. Rate offered to the successful applicant is pending certification(s), experience, knowledge, skills, abilities and other attributes. Flexible work options may be available; this position may be able to work from home a few days a week subject to an approved telework agreement. May consider remote work for candidate with advanced technical abilities working with VPN.
