About the Role:

As the Executive Assistant, you will play a vital role in supporting the CEO in managing their daily schedule, communications, and administrative tasks. Additionally, you will serve as a primary point of contact between the CEO and the Board of Directors, facilitating communication and ensuring seamless coordination of activities. The ideal candidate will possess exceptional organizational skills, impeccable attention to detail, and the ability to handle confidential information with discretion. This is an in-office role.


Key Responsibilities:

Administrative Support:

  • Manage the CEO's calendar, including scheduling appointments, meetings, and travel arrangements.
  • Prepare agendas, presentations, and other materials for meetings and presentations.
  • Serve as the primary point of contact for the CEO, screening and directing communications.
  • Handle confidential information with discretion and maintain accurate records and files.
  • Record meeting minutes, develop agendas and attend sessions to record key content and action items; retrieves, compiles and distributes reference material for meetings.
  • Provides general office support for the Office Administrator when they are on vacation/sick.

Communication and Coordination:

  • Liaise with the Board of Directors, scheduling meetings, preparing materials, and facilitating communication.
  • Act as a liaison between the CEO and external stakeholders, ensuring seamless communication and coordination of activities.

Special Projects and Initiatives:

  • Assist in special projects and initiatives as assigned by the CEO, providing research, analysis, and support as needed.

Qualifications:

  • 10+ years demonstrated experience as an Executive Assistant or similar role, supporting C-level executives in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office productivity tools.

Attention to Detail: Keen eye for detail to ensure accuracy in record-keeping, correspondence, and other administrative tasks.

Time Management: Efficiently manage time and prioritize tasks to meet deadlines and handle multiple responsibilities effectively.

Problem-Solving: Ability to identify and resolve issues independently, demonstrating a proactive and solution-oriented approach.

Adaptability: Flexibility to adapt to changing priorities, environments, and tasks in a dynamic work setting.

Team Collaboration: Work collaboratively with different departments, demonstrating a positive and cooperative attitude.

Confidentiality: Maintain a high level of confidentiality when handling sensitive information and documents.

Customer Service: Provide excellent professional customer service, both internally and externally, ensuring a positive experience for all stakeholders.

Initiative: Take the initiative to identify areas for improvement, streamline processes, and contribute to the overall efficiency of the office.
