TheProperty Administrator (Part-Time) will be responsible for overseeing the day-to-day operation of the Lépine Residential Properties. The Property Administrator will work very closely with the Superintendents and cleaning staff, to deliver a high level of customer service and satisfaction.
The Property Administrator will report to the Property Manager.
This position is an on-site position located in Carleton Place.
Customer Service/Administration
- Manage the complete lifecycle of tenants, from onboarding to lease renewals and terminations, ensuring seamless communication, addressing tenant inquiries, and overseeing the resolution of any issues to enhance overall tenant satisfaction and retention.
- Prioritize customer satisfaction and create a customer-focused atmosphere within the assigned property.
- Deliver the Lépine Customer Service Promise throughout the customer journey.
- Coordinate tenant arrivals, move-in/out processes, and elevator/loading dock bookings.
- Maintain an updated resident database, including tenant changes and payment details.
- Keep various lists, such as tenant and emergency contact lists.
- Manage the building/parking access card system and maintain accurate records of card/permit holders.
- Collect rent payments, address late payments, and handle key and fob requests from tenants.
- Maintain tenant insurance requirements and conduct bi-monthly insurance audits to ensure compliance.
- Participate in a rotational on-call schedule that supports the Superintendent in emergency after-hours calls.
- Releasing of vacant apartments, to ensure Lepine's occupancy target is maintained; this includes assisting prospective tenants, giving tours and following up on prospective tenants.
- Administer leases, document preparation, and file management.
- Manage and execute sublets, assignments, and termination notices.
- Actively manage tenant renewals to maximize tenant retention and building occupancy.
- Other tasks & duties as assigned.
Qualifications
Education • High school diploma or GED required. • College diploma in business administration, property management or combined experience is an asset.
Experience • Demonstrated experience 2 years in property management or related sector.
Role Specific Skills • Strong positive mindset, organized, self-motivated and very detail oriented, of administrative and customer service skills.
Licenses & documentation • Valid driver's license. • Clean criminal record check.
Language Requirements • English essential. • French is considered an asset.
