Job description

Position Summary:

Reporting to the Manager, Legislative Services, the Records Management Clerk is responsible for detailed planning, development, implementation, and coordination of both physical and electronic data management systems for the City. As the City begins a digital data transformation, this role provides ongoing support relating to data management practices and compliance with the Freedom of Information and Protection of Privacy Act (FOIP).

Key Accountabilities:

  • Provide input and support for the development, implementation, and maintenance of an electronic document and Records Management system (EDRMS) and comprehensive data management strategy
  • Coordinate and assist with data management functions necessary for moving records through all stages of the information lifecycle – classifying, indexing, inventorying, defining metadata, naming conventions, etc.
  • Effectively arrange the destruction of records, according to the Record Retention and Destruction Schedule on a routine basis
  • Control the number of transitory, redundant, and obsolete data retained
  • Research legislation and industry standards, network with other municipalities, and work with stakeholders to develop innovative governing documents, guidelines, and training regarding the management of City data assets, in both physical and electronic formats
  • Provide data management training, support, and troubleshooting as required
  • Ensure regulatory compliance and assist with requests made under the FOIP Act
  • Assist with locating files and retrieving archived material for internal and external information requests
  • Identify and protect vital data using audit logs, risk assessments, and disaster recovery planning
  • Identify and coordinate data management related projects including imaging projects, data integrity, and storage maintenance
  • Maintains confidentiality and security of all City data assets, manages information appropriately and responsibly
  • Performs related work as required.

Required Education and Experience:

  • Certificate in Records and Information Management, Diploma in Library Information Technology, or related post-secondary education.
  • Minimum 2 years of related and progressive data management experience within a public sector environment.
  • Thorough knowledge and understanding of the FOIP Act considered an asset.
  • Membership in an Information Governance Association is considered an asset.

Desired Certifications and/or Documentation:

  • Valid Class 5 Alberta Driver’s License and Drivers Abstract deemed satisfactory by the City.
  • Criminal Record Check deemed satisfactory by the City.

Expected Skills and Attributes:

  • Proficiency with MS Office (Word, Excel, PowerPoint, Outlook, and Teams).
  • Meticulous attention to detail, regularly proofreads and edits work products.
  • Highly professional communicator: ability to maintain confidentiality, navigate politically sensitive topics and apply analytical and creative thinking skills to problem solving and decision-making.
  • Strong work ethic and highly motivated; ability to manage many different ongoing tasks and projects
  • Ability to work individually or as part of a team

Working Conditions:

  • Long periods of sitting, reading and concentration.
  • Occasionally required to lift multiple 40-pound boxes repeatedly.

Job Type: Full-time

Salary: $65,000.00-$70,000.00 per year
