PURPOSE:
As a member of the Administrative Team, the Relief Team Clerk assists or fills in for permanent Administrative Staff, as required. The Relief Team Clerk provides support and assists with the coordination and delivery of all services at HCSS, including Day Away Program, Overnight Relief, Hot Meals on Wheels, Frozen Meals on Wheels, Transportation, Housekeeping, Volunteer Recruitment Programs and Finance and Payroll.
DUTIES AND RESPONSIBILITIES:
Clerical Support:
· Respond to all calls and walk in traffic in a professional and friendly manner
· Attend and contribute to team meetings
· Assists with Intake and Admission processes for clients of HCSS services, processing of HPG referrals, and assists with Volunteer Recruitment and Orientation processes
· Completes required data input into data base software as needed, including client data base, transportation scheduling software, Total Health Care, etc.
· Assists with coordination and scheduling of HCSS Services
· Communicates appropriately with Team members regarding clients, volunteers and service delivery
· Ensure all voice mail and telephone functions are working properly
· Arrange courier mail pick-up, when needed
· Work with co-workers to ensure offices and files are secure
As needed, assist the team with communication with Volunteers, and assist with the coordination and organization of Volunteer events
· Complete monthly billing and reports as needed
· Assist Team Leader or Director as required
· Inform the appropriate staff member of any difficulties with clients or volunteers
· Assist with data entry as needed in finance or payroll
· Backup and complete payroll as needed
· Support finance team in duties as required
Scheduling Duties:
· Schedule Volunteers and Housekeeping staff as required and assist with communication and coordination of HCSS services as needed
Assist with trouble shooting in regard to client and volunteer issues
Communicate with providers of services (for example meal providers, Saugeen Mobility)
· Assist with HCSS services when delegated
· Support administrative duties including phone calls, data entry, reports, mailing as requested
General Responsibilities:
· Seek ongoing education opportunities which will enhance knowledge pertinent to role
· Maintain confidentiality

QUALIFICATIONS:
Post secondary diploma in Business and/or Computer applications.
Proficient in word processing data management and accounting software.
Strong organizational skills.
Excellent interpersonal, customer service, and communication skills.
Finance and payroll experience considered an asset
Three to five years experience working within a busy office setting.
Previous experience working with seniors and /or volunteers is an asset.
Current driver’s license and reliable vehicle.

Salary: $20.08-$22.70 per hour
