We currently have an administrative opportunity within our facility. The roll is an excellent opportunity for a highly motivated individual to work in a hands-on role in a successful privately owned organization. This position requires flexibility and the ability to multi-task while managing multiple priorities.
Duties:
- Light Telephone and front counter reception duties
- Previewing of initial invoices approved by sales department to ensure accuracy as per contract terms
- Organizing the purchase cycle - purchase order/invoice/packing slip matching function
- Entry of new purchase orders and creation of sales orders
- Follow up with any overdue customer accounts
- Compile and code invoices appropriately;
- Enter AR and AP invoices into Sage 50 Quantum Accounting accurately and in a timely manner;
- Prepare, balance and complete cheque runs ; Maintain various records, spreadsheets and documents
- File, tally and prepare deposits
- Process weekly payroll or salary using Pay Dirt software - i.e., preparation of ROE’s, payroll inquiries, prepare and remit source deductions, WSIB, EHT, garnishment, Prepare annual T4 slips, etc.
- Administer Company Group Health and Pension Plan
- Prepare and submit annual EHT and WCB returns
- Assist in researching, tracking, and resolving any discrepancies
- Regular filing and file maintenance
- Understand processes and recommend process improvements where applicable
- Respond in a timely manner to requests for information and other inquires
- Arranging shipping logistics, Couriers, etc, Help accountant with month end reports and statements.
- Special projects and other duties as instructed
Requirements:
- Accounting diploma from an accredited college / university preferred
- MUST have 3 to 5 years’ experience with AR and AP in a manufacturing type setting
- Fluency in Sage 50 Quantum Accounting and Pay Dirt payroll software would be an asset
- Proficient in MS Office (Excel (intermediate), Word, Outlook)
- Demonstrated ability to work both in a self-directed manner and as a team member
- Commitment to excellent customer service is a must
- Superior organizational and time management skills
- Ability to work under pressure to meet tight deadlines
- Strong attention to detail
