Job description

The Sales & Catering Coordinator’s primary focus is servicing Event Sales bookings and acting as a liaison between Resort clients/event planners and the hotel Operational departments. The SCC will administrate proposals and agreements, which detail all food and beverage, event space setup, audio visual needs, guestroom blocks, manage event billing and be responsible for the final review of event documents. The SCC should have a passion for quality food, beverage, and exceptional service.

Essential Duties & Responsibilities:

  • Arrive at work on time and properly groomed in work appropriate attire.
  • Solicit, negotiate, and book new and repeat business through various efforts to maximize event revenue which meets and/or exceeds individual and team sales goals.
  • Develop and continually enhance relationships with key accounts to maintain high visibility and increase market share.
  • Conduct telephone prospect calling on a myriad of pre-selected databases and client lists or other avenues that will generate more Event business.
  • Lead Follow up/ Lead generation.
  • Conduct site inspections.
  • Negotiate and execute contracts that are fair and profitable.
  • Create banquet event orders, group resumes, collect rooming lists, plus any necessary administrative items that accompanies booking a group or social event.
  • Finalize and distribute banquet event orders, working closely with the F&B and Kitchen teams to ensure contracted products and services are successfully executed.
  • Develop and maintain key working relationships with local vendors and suppliers to ensure quality products and services support event execution. Ensure all outsourced products are ordered, delivered, setup and retrieved on a timely basis and in accordance with Resort policies.
  • Support the servicing of the groups from the beginning booking process all the way through the end of the program to ensure for a successful event. Involved in organizing, set-up, and re-set of the venue.
  • Support Front Desk in monitoring guestroom blocks and pick up/cut off dates for all groups booked.
  • Assists with the development and implementation of innovative and creative ideas to enhance the Event offerings to all clients.
  • Works closely with General Manager/Finance to ensure that each has accurate and up to date financial information for each event.
  • Track all sales activities.
  • Supports special projects as required.
  • Works with head office Sales/Marketing/General Management in coordinating an overall event marketing strategy and will advise on the creation of the marketing material for the effective promotion of events.

Qualifications:

  • 3+ years Sales & event experience preferably in social and/or corporate market with upscale venues or hotels.
  • Diploma or Degree in Hospitality Management, Business, or related field of study is preferred. Alternatively, 5+ years of sales and event experience in lieu of educational degree.
  • Must demonstrate excellent leadership and organizational skills. Interacts with others in a way that builds openness, trust and confidence in the pursuit of service excellence.
  • Proven successful selling and negotiation skills, including prospecting are required. Goal oriented and comfortable with quotas with the ability to prioritize, organize and exceed benchmarks.
  • The ideal candidate must also possess excellent project management, task management, and verbal/written communication skills.
  • Motivation and ability to identify new business opportunities and maintain a high regard for customer loyalty.
  • Possess an eye for detail and sense of creativity.
  • A successful candidate will be comfortable in a high-energy, service-oriented environment and be able to manage multiple functions and priorities.
  • Identifies and understands issues, problems and opportunities; evaluates alternatives and solutions, while comfortable making and taking responsibility for decisions.
  • Strong analytical skills that help to understand key business indicators and competitive trends and develop approaches to these challenges.
  • Ability to work as part of a team, while comfortable to work on own when necessary.
  • Must be flexible and able to work various shifts, including evenings, weekends, and/or holidays as needed.
