Van Harten Surveying Inc. is located in the heart of Southwestern Ontario, with offices in Guelph, Waterloo, and Orangeville; and recently acquired survey companies from Acton, Kitchener and Elmira. Due to an upcoming Maternity Leave, Van Harten Surveying has a full-time opportunity for an Administrative Assistant at our Guelph office. This detail-oriented person is a highly motivated individual who has strong interpersonal skills, organizational skills, and time management skills.

Job Responsibilities:

  • Assist with client interaction via email and phone
  • Preparation of estimates
  • Preparation of invoices in a timely manner that reflect the work outlined in the estimate and that has been carried out
  • Preparation of correspondence/contract documents
  • Geographic filing
  • Personal assistance to project managers – including organization of their job lists and tasks to be completed; and liaise between the clients and project manager, township and project manager, and registry office and project manager
  • Assist with overall project management
  • Monitoring and administering office systems and procedures as applicable and assigned

Candidate Requirements:

  • Prior office administration experience
  • Excellent customer service skills
  • A high degree of precision and attention to detail
  • Excellent written and verbal communication skills
  • Excellent organizational skills
  • Advanced skills in Microsoft Office (Word, Excel, etc.)
  • Ability to work in a fast-paced, team-oriented environment
  • Experience in Surveying is considered an asset
