The Opportunity
The Client Administration function is a vital part of the firm’s National Shared Services. This highly skilled group of over 600 administration professionals in 33 offices supports the firm’s Tax, Audit and Advisory client service staff. Client Administration is focused on the increase of revenue, achieving client service excellence by delivering timely, high -quality products, increasing time available for client service staff to focus on driving the business, and encouraging an environment that increases both the staff and client experience. This is achieved by building dynamic, lasting relationships, being sensitive to our client needs and collaborating as part of the client service team.
- Provide intermediate level administrative support to Partners, Senior Managers, Managers and their teams, collaboratively with an Administrative Assistant team.
- Responsible for drafting and preparing engagement letters for clients.
- Verify records to ensure completeness and accuracy of data for risk management and brand protection in accordance with national guidelines.
- Follow up on the receipt of signed engagement letters and maintains an up-to-date list of expiring letters.
- Coordinate, prepare, edit and/or proofread documents such as correspondence, presentations, and reports using various software.
- Plan and coordinate travel using Concur.
- Provide proactive billing and collection support and coordinate related tasks through KPMG's various systems
- Assist with the management of various team processes and tools, including Teams for Clients, SharePoint
- Coordinate meetings, conference calls, video conferences, net meetings etc., organize materials and take minutes.
- Coordination of in-office requirements, including arranging couriers, mail, and in person meetings, with an expectation of working primarily in a KPMG office.
Please note, this is a hybrid role that will require in-office attendance.
- Minimum 3 years administration experience.
- College diploma or an equivalent combination of education/experience in Administrative Assistant skill set.
- Intermediate skills with MS Office, including Word, Outlook, Excel, PowerPoint, and OneNote.
- Proactivity, organization, attention to detail and resourcefulness
- Strong ability to manage deadlines and priorities from a broad team
- Excellent communication skills analyzing instruction by email, phone, and/or Teams
- Excellent proofreading skills (able to make the necessary corrections and suggest ways to reformulate a text).
- Ability to come to the office to offer support and collaborate with your stakeholders
- Ability to work collaboratively with a virtual team based across multiple geographical locations and time zones
- Proven ability to deal with sensitive materials with a high degree of tact and discretion
This position requires written and oral fluency in English. The successful candidate may be required to support or collaborate with English-speaking colleagues or stakeholders while at KPMG. The successful candidate may be required to create, interpret and/or apply policies, practices, laws and and/or regulations during the regular course of their employment.
