We are looking for an Executive Assistant to join our team in our Toronto office!
As an Executive Assistant, you will be responsible for supporting the managing partner and other key executives by providing full administrative support in a fast-paced environment.
Please note this is a fully in-office position, located at 181 University Ave, Toronto

Your day as an Executive Assistant
- Maintain calendars for key executives, ensuring time is utilized in an efficient and work-smart manner.
- Coordinate ground transport for executives when traveling to meetings
- Collaborate with other EAs across different regions in the country.
- Schedule meetings & lunches/dinners with customers/clients and prospects including insurers
- Reconcile monthly credit card receipts and expenses
- Minute meetings for management and VP committee meetings
- Process expense reports as needed and prepare cheque requisitions for invoices
- Create and distribute reports to VPs (AR and Sales Funnels)
- RSA Bravo Administrator backup
- Lloyd's portal -Manage incoming bound submissions
- Distribute policies through RSA Portal
- Review and reconcile invoices-flag/follow up on questionable items;
- Assist VPs with ad-hoc projects
- Active member of the Central Social Committee: organize in-house events for staff celebrations in conjunction with the Events Manager
- Administrative support to Events Manager on client events
- Backup Reception duties for the Toronto office
- Ad Hoc duties as required
Our ideal candidate
- Five years of experience in an administrative or support position
- Good knowledge of the insurance brokerage industry, an asset
- Excellent knowledge of Microsoft Office Suite, including Excel and PowerPoint
- Detail-oriented
- Strong verbal and written communication skills
- Strong analytical and problem-solving skills.
- Effective time management and organizational skills.
