The Opportunity
Reporting directly to the Supervisor, Community Supports & Events this role is responsible for providing customer service administration within the Community & Human Services Department administration. This position will promote and assist with the delivery of service in a professional, friendly, and efficient manner. As the Administrator, Community Support, you will perform the following duties, including but not limited to:
- Act as the primary point of contact for all public and staff inquiries and direct all matters to the appropriate staff member.
- Effectively handle customer concerns for all programs, rentals, and services provided.
- Provide clients with information regarding facility rentals, available programs, and other town-related information.
- Register clients in recreation programs; administer facility rentals; maintain sessional & rental fees in Class.
- Process postdated payments daily/monthly as required. Follow up on declined payments and returned EFT payments.
- Responsible for expense reconciliation, coding invoices and. Process and track invoices for authorization and payment.
- Prepare purchase requisitions for approval.
- Maintain and update files, records, and customer database; ensure adherence to TOMRMS.
- Attend meetings and record minutes as required.
- Perform other duties and special projects as assigned.
The Ideal Candidate
We are seeking a passionate professional with a post-secondary diploma in Recreation and Leisure, Business Administration, or a closely related field. Our ideal candidate has minimum 1 - 3 years related experience in a recreation/office environment with certification in CPR "C" with AED and Standard First Aid. Completion of Healthy Child Development (HIGH FIVE), additional certification (Quest 1, Quest 2, or Trainer) with HIGH FIVE would be an asset.
The ideal candidate will have demonstrated analytical and problem-solving skills. We are seeking an individual with superior organizational skills with considerable attention to detail to avoid errors and ability to meet deadlines, a demonstrated ability to exercise significant discretion, and excellent verbal and written communication skills.
The successful candidate for Administrator, Community Support will be required to work a flexible schedule, including in the office and after hours (as required).
This position offers an hourly range of $33.09 - $40.55 based on a 35-hour workweek.
Satisfactory passing of a criminal record check, and proof of qualifications will be required of any successful candidate(s) for this position.
