The Role:
Reporting to the Senior Manager Client Services and Municipal Relations, the Client Service Representative displays an unwavering commitment to internal and external individuals by actively listening to their needs, and providing information, guidance, and support to effectively resolve their inquiries.
This role provides support necessary for the efficient and accurate production, maintenance, and delivery of PVSC’s annual reassessment roll. This includes support with coordination activities related to PVSC’s appeal process with the Nova Scotia Assessment Appeals Tribunal (NSAAT).
How you will contribute:
Client Services
- Creates a consistent and quality service experience through friendly and professional interactions during phone and email inquiries;
- Assesses needs by listening, asking appropriate questions, and using sound judgement to provide effective recommendations.;
- Serves as the first point of contact and triages requests as appropriate;
- Maintains a timely understanding of the applications used and programs delivered by the PVSC, using reference manuals and on-line databases;
- Educates on self-service options and web-based information/data;
- Prepares documents for mail out activities, and processes documents received such as appeals, notices, address changes, and letters of authorization;
- Complies with the internal audit process, as required, by correcting errors found in data edits and exception reports;
- Performs office duties as required, such as data input, filing, typing, and general correspondence;
- Maintains strict confidentiality of information and data available through PVSC’s various systems and adheres to PVSC’s Data Disclosure Policy;
- Supports an efficient records management system ;
- Provides tier 1 triaging on incoming calls;
- Performs other related duties or participates in other activities, as assigned.
Nova Scotia Assessment Appeals Tribunal
Performs day to day operations of the NSAAT logistics as per workload direction from the Recorder, including but not limited to:
- Receipt and recording of appeals;
- Hearing scheduling, including communication with Tribunal members;
- Prehearing activities;
- Creating dockets;
- Responding to inquiries and requests for information;
- Maintains file structures relating to appeal records and correspondences;
- Administers formal correspondence related to appeals, inquiries, and scheduling of hearings;
- Recording and sharing NSAAT decisions;
- Packaging and sending of submissions to the Tribunal;
- Processes member expense forms.
What you bring:
- Outstanding listening and communication skills with the ability to communicate professionally with others;
- Demonstrated problem solving skills and accountability over individual performance;
- Ability to manage various tasks while maintaining deadlines under pressure with a strong attention to detail;
- Proficiency with Microsoft Office applications (Outlook, Word, Excel, PowerPoint, etc);
- Ability to navigate the internet and knowledge of web-based information systems;
- Seeks, welcomes, and incorporates feedback to improve personal and business performance;
- Ability to maintain confidentiality and exercise sound judgment;
- Knowledge of relevant legislation, policies, and procedures, as well as programs and services provided by the PVSC is considered an asset.
What we are looking for:
- High school graduate plus 3 years related experience in a service center is required;
- Service training is considered an asset;
- Equivalent combination of training and experience may be accepted.
CL18 $47,158.13 - $52,763.60
This is a unionized position with the NSGEU.
