Job description

Mission Statement: Homes First Society develops and provides affordable, stable housing and support services to break the cycle of homelessness for people with the fewest housing options.

Reports to: Director of Client Services

Position type: Full time

Hours of work: Monday to Friday, 9 am to 5 pm

The Client Services Administer will work with the Client Services team to support and maintain the effective operations of the organization by participating in supply management, data collection, and event planning. You will also be collaborating with various departments on staff training, report creation, and assisting with scheduling and deadline development, while maintaining Homes First missions and goals.

Job Responsibilities:

  • Work with Assistant Director of Client Services to schedule all supervisors within the Client Services department to ensure supervisor coverage at all times.
  • Support with the development of schedules and deadlines
  • Keep records of staff training
  • Support the collection of data and writing of reports
  • Support with editing documents, proposals, and reports
  • Support with setting up research interviews and data collection processes and systems to store data
  • Support with payroll by ensuring time sheets are accurately inputted in a timely manner
  • Track training for all Client Services department staff
  • Support with planning of events, trainings, and meetings
  • Support with ordering supplies
  • Support with the collection and distribution of documents
  • Track the implementation of change processes
  • Keep meeting minutes
  • Coordinate administrative procedures and systems and devise ways to streamline processes.
  • Complete special projects by supporting with scheduling, preparing documents, setting meeting schedules, carrying out action plans, coordinating information, and tracking progress.
  • Store documentation in a systematic manner
  • Track financial documents
  • Take inventory for the Client Services Department and keeping track of programming resources
  • Other responsibilities as required

Qualifications:

  • Minimum two year proven experience as an administrative assistant
  • Computer literacy, including the ability to access and use a variety of information system tools to support the delivery of the projects
  • Demonstrated experience performing data management functions and ability to effectively prioritize work in a fast-paced environment
  • Attention to detail and problem solving skills
  • Ability to work effectively in a collaborative team environment and independently
  • Excellent communication, organization and time management skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • Ability to work outside of regularly scheduled hours to accommodate activities such as training and events
  • Certificates in First Aid and CPR is an asset
  • Experience working with people who are homeless, under-housed, and dealing with addictions and mental illness is an asset
  • Preforming other duties as assigned
  • The successful candidate will be required to work where smoking is present.
