Job Summary

Bring your strong administrative experience and superior organizational skills to this position

The Forest Sector Transformation Branch supports the delivery of several key mandate items in the Ministry of Forests, including the transition to Value Added Forestry, the Modernization of Forest Policy, and support for community transition and worker support. Other key files include the Provincial Forestry Forum and stakeholder management in a forestry context.

The Program Assistant is accountable for planning, development, and coordination of administrative, secretarial, and financial support for the branch and coordinates the day-to-day priorities of the Executive Director (ED). This includes handling both confidential and routine matters, maintaining proper communication channels between the ED’s office, the Assistant Deputy Minister’s office, and key forest industry stakeholders. The Program Assistant also monitors and tracks the completion of assignments and projects, and coordinates the flow of information in and out of the office.

Job Requirements:

  • Secondary school graduation (Grade 12) or equivalent (GED).
  • Combination of three years related administrative support/coordination experience, education and/or training.

Related experience must include all of the following:

  • Experience in multi-tasking, working in a fast-paced environment and managing workload with minimal supervision.
  • Experience managing electronic calendars including scheduling meetings and appointments.
  • Experience booking/making travel arrangements, arranging meetings and logistical coordination.
  • Experience in advanced keyboarding, word processing, spreadsheets, and other standard computer applications, including the MS Office suite of programs.
  • Experience formatting and proofreading a variety of documents, including confidential correspondence and briefing materials.
  • Experience working collaboratively with other administrative staff, providing training/support as needed.
  • Experience coordinating and editing briefing materials, reports and / or correspondence, including proof reading with a high degree of accuracy.

Preference may be give to candidates with the following:

  • Experience with managing the flow and approval requirements for executive correspondence (eg: minister’s letter, briefing notes and issue notes).
  • Experience leading others.
  • Who self-identifies as Indigenous.
  • Experience with the project management cycle
  • Business writing experience in a variety of formats and for a variety of audiences

About this Position:
Flexible work options are available; this position may be able to work up to 2 days at home per week subject to an approved Telework Agreement.
