Job Overview: As an Aviation Document Controller, you will play a crucial role in managing and maintaining critical documents for our organization. Key Responsibilities:
- Document Management:
- Establish and maintain a centralized document management system for all aviation-related documents, including manuals, procedures, certifications, and licenses.
- Organize and categorize documents in a systematic manner for easy retrieval and reference by relevant stakeholders.
- Ensure that all documents are accurately labeled, indexed, and stored securely to maintain confidentiality and integrity.
- Regulatory Compliance:
- Ensure that all business documents adhere to regulatory requirements, including formatting, content, and version control.
- Collaborate with regulatory agencies during audits and inspections, and other teams within the business as needed, providing necessary documentation and ensuring compliance with regulatory directives.
- Revision Control:
- Manage the revision process for documents, including tracking changes, obtaining approvals, and implementing updates in a timely manner.
- Maintain a comprehensive revision history for all documents, clearly documenting changes and ensuring that the latest versions are readily accessible to authorized personnel.
- Coordinate with relevant departments to communicate and implement document revisions effectively.
- Quality Assurance:
- Conduct regular reviews of documents to verify accuracy, completeness, and consistency.
- Implement quality control measures to identify and address any discrepancies, errors, or omissions in documentation.
- Collaborate with internal stakeholders to address feedback and continuously improve document control processes and procedures.
- Training and Support:
- Provide training and guidance to staff members on document control policies, procedures, and systems.
- Serve as a resource person for document-related inquiries, assisting users in locating, accessing, and understanding relevant documents as needed.
- Offer technical support and troubleshooting assistance for document management software and tools.
Qualifications and Skills:
- Post secondary education in business management or technical records documentation considered and asset.
- Proven experience in document control, preferably within the aviation industry.
- Proficiency in document management software and Microsoft Office applications is an absolute must.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal abilities.
- Ability to work effectively under pressure and meet tight deadlines.
- Certification in document control (e.g., Certified Document Controller) is desirable.
