The Executive Assistant plays an important role in supporting the CEO in administrative and management support tasks. This includes maintaining their calendar and meetings, working on communications, helping to meet commitments, working closely with other departments, and helping to manage facilities. More specifically:
- Handle incoming and outgoing communications including emails, calls, reports and internal correspondence;
- Verify and evaluate billing on a regular basis;
- File important documents such as reports, meeting notes, emails and letters;
- Maintain the executive calendar, including adding events, rescheduling appointments and providing daily briefings;
- Act as a gatekeeper for internal and external contacts (vendors, partners and customers);
- Plan and organize events that occur externally, such as sports tournaments and recognition events;
- Keep important information and documents organized physically and electronically.
- Desire to have a sustainable impact on the planet;
- 5+ years of experience in a professional services environment as an Executive Assistant or Office Manager;
- Ability to conduct research and create reports or presentations;
- Ability to work with various tools (Microsoft Office, applications, etc.);
- Ability to prioritize and work in a fast-paced environment;
- Exceptional attention to detail;
- Communication and interpersonal skills;
- Bilingual (French and English, written and spoken);
- Assets: Bachelor's degree or college diploma, experience in a law or accounting firm.
- Based in Sherbrooke, QC, Canada (100% in-office position);
