JOB OVERVIEW

TheFacilities and OperationsCoordinator works alongside our National Facilities team in order to ensure the optimal working environment for all of the organization’s staff members by providing full operational and maintenance services as well as promoting safety conditions. This part-time position comprises of a 20-hour week with occasional evenings and weekends as needed. The individual in this position will report to the Manager, Facilities and Operations (based in Toronto). This position is based out of the Society’s Hamilton office located at the Juravinski Hospital and Cancer Centre, Lakeview Lodge but will also work as part of the nationwide Real Estate and Facilities team.

WHAT YOU’LL BE DOING:

  • Act as primary contact for the Juravinski Hospital and Cancer Centre and liaise with housekeeping/janitorial, HVAC maintenance and plumbing services personnel;
  • Support incoming and outgoing mail distribution and deliveries including high volume kitting needs;
  • Monitor, action, and redirect request from various departments sent to the Facilities mailbox to support cross functional organization needs;
  • Support in the onboarding and offboarding staff with the coordination of the hiring manager;
  • Oversee the maintenance & supplies for the Hamilton office;
  • Evaluate maintenance requests, set priorities, and process work assignments;
  • Assist the Facilities Manager in coordinating emergency evacuation plans, procedures, and drills;
  • Conduct weekly inspections of the Hamilton office to assess service levels of external providers, safety, tidiness etc.;
  • Conduct daily inspections of the parking lot to ensure proper use of the CCS reserved parking spots;
  • Occasional physical effort required in order to assist in operational office and furniture moves;

QUALIFICATIONS:

  • Administration/operations diploma or equivalent 1-2 years’ experience in an operational environment that supported cross department teams, or comparable education/experience;
  • The role requires 1-2 years of general building maintenance exposure with understanding and skills with small repairs, office coordination, etc. and strong understanding of building infrastructure (mechanical, electrical etc.);
  • The individual should have beginner to intermediate Microsoft Office skills and be comfortable learning new systems and database entries.
  • Superior interpersonal and communication skills.
  • Someone who is diplomatic in nature and possesses a high level of professionalism when representing the Society in dealing with internal and external stakeholders.
  • Ability to multi-task in a fast paced, cyclical environment while working with multiple stakeholders.
  • Must be a team player and a team builder.
  • Someone who expresses a sense of urgency and the ability to be proactive on issues and opportunities
  • Work independently without regular direct supervision.
  • Advocate of the Canadian Cancer Society cause.
