The HR Assistant is responsible for administrative support within the Human Resources department including various processes, projects and recruitment and employee retention related activities throughout West Edmonton Mall, Fantasyland Hotel and West Edmonton Mall Inn.
Primary Responsibilities:
- Providing essential administrative and HR process support to the Vice President of Human Resources and the Human Resources Department through effective file management techniques, document scanning protocols, backup reception coverage when required and employee/client communications practices.
- Screening, forwarding, and responding to emails, phone calls, and inquiries from company employees, department management, and external business partners.
- Creating and presenting formal job offers to potential candidates and creating various HR related letters and memos.
- Assisting with training program administration and potential OH&S documentation processes and paperwork.
- Tracking the HR department budget including all budgetary expenses and subsequent invoicing.
- Coordinating and assisting with the development of various employee recognition programs and services.
- Creating and updating job postings, job boards, creating formal letters and memos, conducting employee onboarding meetings and completing subsequent paperwork and maintaining recruitment materials and records.
- Providing recruitment support with screening and distributing resumes and posting of available job opportunities and creating and updating position descriptions.
- Coordinating front-line level interviews for various departments, performing select reference checks, and attending job fairs.
- Providing administrative support and working on special HR projects and assignments for the Vice President of Human Resources and other duties as required.
Desired Qualifications:
- Previous related working experience in an office environment with a high level of confidentiality. Prior work experience in an HR setting is an asset.
- Completion, or being in the process of post-secondary education in human resource management or business management.
- Previous recruitment and/or selection interviewing experience is an asset.
- Proficiency in Microsoft Office: Excel, Word, Outlook, PowerPoint.
- Applicants must possess excellent interpersonal skills and must be comfortable speaking in front of a group.
- Must be detail oriented and have a high level of accuracy regarding written communications.
- Individuals must have exceptional organizational, time management, communication, strong computer skills and abilities and a demonstrate a high level of professionalism in the workplace.
- Must have the ability to take initiative in the workplace and be excited to take on new challenges as they arise.
Terms of Employment:
- This is a full-time position that is required in the office Monday through Friday, 8:30am – 5pm with flexibility to allow for occasional project based tasks or assignments.
- This is a salaried position and will depend on experience and qualifications.
- Must be able to pass a basic security clearance.
