Duties

  • Leads administrative processes on behalf of the Service, managing the coordination, scheduling, and delivery for corporate activities.
  • Provides key administrative support to the design, development, and implementation of corporate learning and corporate programs and services that support the Parliamentary Protective Service.
  • Administers processes and procedures to ensure the effective delivery of programs and services.
  • Conducts various types of research and information gathering to support the development of products and services.
  • Conducts follow-ups and prepares updates for the advisors and/or clients.
  • Works with and/or develops tools and processes to support program initiatives.
  • Communicates procedures to clients and external partners for the efficiency of ensuring information and services are established and provided.
  • Maintains databases/electronic forms related to the programs and projects of the team and responds to general enquiries related to statistics.
  • Creates e-requisitions within oracle, tracks expenses and goods and services received, validates the content and accuracy of invoices.

Work environment

The Parliamentary Protective Service (PPS) is a separate and distinct organization and is not subject to the Public Service Employment Act. PPS has its own classification, compensation system and staffing regime. Persons appointed to PPS continue to be part of the federal government and will receive the public service pension plan and public service insurance benefits plan.

EDUCATION:
Successful completion of a secondary educational program OR an acceptable combination of education, experience, and training.

Degree equivalency

EXPERIENCES:
EX1: Recent* experience providing administrative support in an office environment.

EX2: Recent* experience in developing, implementing or coordinating programs and/or supporting workplace initiatives.

EX3: Recent* experience in preparing administrative documents such as reports, minutes, presentations, statistics and/or correspondence for senior management and/or clients.

EX4: Recent* experience in preparing e-requisitions, tracking expenses and goods and services received, validating the content and accuracy of invoices.
Definition:
  • Recent means within the last four (4) years.

ASSETS:
AE1- Experience in coordinating and participating in the delivery of corporate programs, such as awards, recognition, long-service awards, training programs. design, development, and implementation of training/learning programs.

AE2- Experience in facilitating working groups or meetings to gather and collect information for analyses.

AE3- Experience working in the learning field.

Conditions of employment

You must be eligible to obtain both a Site Access Clearance and an Enhanced Reliability Status. The process involves a background investigation that includes:
  • a loyalty assessment;
  • law enforcement verifications;
  • credit and financial verifications;
  • a security interview wherein questions may include (but not limited to), previous employment, online activities, financial situation, alcohol and/or drug use;
