Job Summary
We are seeking a highly organized and detail-oriented Assistant to join our team. As an Assistant, you will provide administrative support to ensure the smooth operation of our office. The ideal candidate will have excellent clerical skills, strong phone etiquette, and the ability to handle multiple tasks simultaneously.
Duties and Responsbilities
- Perform general clerical duties, including photocopying, scanning, and filing documents
- Answer and direct phone calls in a professional and courteous manner
- Schedule appointments and maintain calendars
- Assist with interviewing and hiring processes
- Conduct research on various topics as assigned
- Assist with project management tasks, such as coordinating meetings and preparing meeting materials
- Draft legal documents and correspondence under the supervision of legal staff
- Proofread documents for accuracy and completeness
- Enter data into databases and maintain accurate records
-Able to oversee all aspects of the Visa application procedure, ensuring the process runs smoothly. Must know about payroll and compliance. Able to counsel, guide and evaluate the client and design their case in the best presentable manner.
- Oversee the completion of all relevant visa and immigration documents and ensure that they are received within the government's time limit.
-Maintain records, prepare reports on all fees paid, refunds requested, files placed, and visas obtained, and provide periodic reports to management.
-Must maintain strong working relationships with all clients and colleagues.
-Any other task as assigned
Skills and Competencies
To be successful in this role, you should possess the following skills:
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent phone etiquette and interpersonal skills
- Proficient in using office software such as Microsoft Word, Excel, and PowerPoint
- Ability to conduct research using various resources
- Familiarity with legal drafting and terminology is a plus
- Attention to detail and accuracy in all work performed
- Efficient data entry skills
-Knowledge of quality assurance and quality control in document management.
-Knowledge immigration and processes- TR, PR, LMIA, PNP, Express Entry, etc.

Salary: $16.55-$22.42 per hour
