Job description

Base31 is Prince Edward County’s hottest new cultural destination, located on the site of a former 70-acre WWII air training base just outside of Picton, Ont. The site was purchased in 2021 by PEC Partners Inc. with an ambitious revitalization plan that has since seen the adaptive re-use of many of the heritage buildings, transformation of the landscape, and significant investment in placemaking, public art, programming, site activation and food & beverage programs. The site opened to concerts and events in the summer of 2022 and to date has featured events ranging from major concerts for venue capacities ranging from 175 - 2,500 people, large-scale immersive art experiences, drone shows, gallery and museum exhibitions, historic tours, interactive experiences, culinary experiences, kids’ camps, and art classes. Base31 will continue to grow and develop over the coming years with an evolving fusion of creative placemaking, culinary arts, heritage, ecology, events, innovation, and community. Embracing the cultural and historical significance of Indigenous heritage and its WWII air training base roots has been a focal point and a guiding beacon that has allowed the management team and partners to honor the rich chronicle that is embodied everywhere you look. Location: Picton, Ontario (onsite required, including frequent weekend presence during visitor season)

Start Date: April 2024

Salary: 75,000 annually

OVERVIEW

The Programming and Event Services Manager will be responsible for delivering a high-quality, safe, and secure visitor experience in the 1,000-seat Drill Hall, 150-seat Sergeants Mess Hall, 100-seat Lecture Hall as well as the surrounding grounds and runways. Additionally, they will be responsible for overseeing the execution of all third-party events in the same spaces, ranging from concerts, conferences, celebrations, festivals, film shoots to meetings, with a focus on exceptional client and customer service.

This position will report to the Head of Programming and Event Services and will work directly with a team of Managers including Client Services and Production, as well as manage a team including a Front of House Assistant Manager and multiple roles related to front of house including Event Supervisors, Event Support, Security and Paramedics. They will also collaborate with other Base31 departments including Marketing, Capital Projects, Properties, Placemaking, Visitor Experience and Finance.

This role is fast paced and entrepreneurial, combining both operational and team management, requires deep attention to detail, and necessitates creative action, constant collaboration, as well as coordination with both the internal team and external parties.

RESPONSIBILITIES

Execute Programming and Event Service Sales and Operations:

  • Collaborate with the Programming and Event Services team as well as Placemaking, Visitor Experience, Food + Beverage, and Marketing, to execute an annual program including the planning, profitability, and design of every event, all of which are supported by independent producers and partners.
  • Collaborate with the Programming and Event Services team, as well as Capital Improvements, Properties, Food + Beverage, and Marketing to oversee the execution of all third party or co-produced events as part of the event services plan including staffing, planning, and profitability.
  • Support the Head of Programming and Event Services on the execution of the launch of Base31 Event Services
  • Develop and oversee operational systems and policies to ensure safe, secure and high-quality experiences for visitors and clients including the implementation and training of a customer relationship management software, ticketing platform, and an event specific sustainability plan.
  • Develop the policies and quality assurance standards for event related staff, third-party vendors, clients, and attendees.

Build and Maintain a High-Functioning Team:

  • Recruit full-time, part-time and seasonal team members into roles that are specific to the execution of events including a Front of House Assistant Manager, Event Supervisors and Event Support, who will be responsible for the set-up and tear down of every event as well as the facilitation of parking, ticketing and ushering.
  • Maintain and manage the relationships with event related security and paramedics including scheduling, providing constructive feedback and payments.
  • Manage the scheduling and overall team morale for the Front of House Assistant Manager, Event Supervisors and Event Support by creating the conditions for success through continuous learning and mentorship as well as ensuring all team members have the required training and certifications.
